## Content

**Intro:** Moving to a new accounting structure starts with a crosswalk from old accounts to new ones. This worksheet carries opening balances with the mapping so you can prove the trial balance still balances after the conversion.

**Sections:**

#### How to use it

**Body:** Enter each old account with its name, then the new account number and name you want. Choose the account type and enter the debit or credit balance from the trial balance at the cutover date. The sheet calculates the net and the total out of balance amount. Merge accounts by giving several old rows the same new account. Split accounts by listing the old account several times with different new targets and amounts.

**Bullets:**

- Use one trial balance date for every row
- Map many-to-one only when history reporting allows
- Record segment or dimension notes for each row
- Freeze the new chart before loading anything

#### Segments, dimensions and the chart design

**Body:** Sage products differ here. Sage 100 and Sage 300 typically combine natural account with segments in one account string, while Sage Intacct uses a leaner chart with dimensions such as department, location and project to carry the detail. Moving from a long segmented account string to a lean chart plus dimensions is the most common redesign. Use the note column to record which old segment becomes which dimension, and keep that logic consistent.

#### Proving the conversion

**Body:** The out of balance figure must be zero, and the account type totals should agree to the source system's balance sheet and income statement at the same date. Check control accounts such as AR and AP against their subledger aging reports. For an opening balance load, income statement accounts are usually zero at the start of a fiscal year, with prior earnings in retained earnings.

#### Common mistakes

**Body:** Loading balances for inactive accounts, forgetting intercompany accounts, and mapping to an account that is flagged as a control account are the typical errors. Another is mixing sign conventions between source reports. Also check that every new account has the right posting restrictions and currency settings before the load.

**Cta:** If you are converting from several legacy ledgers and want a second pair of eyes on the crosswalk, we can review the mapping and the proof totals.

**Faq:**

#### Does this work for Sage 100, Sage 300, X3 and Intacct?

**Answer:** Yes, as a planning document. The structures differ, but every migration needs an old to new account crosswalk and a balanced trial balance. Adjust the dimension note column to reflect how your target product carries extra detail.

#### Why is the sample out of balance?

**Answer:** The sample rows are only a subset of a trial balance, so they do not net to zero. That demonstrates the check. Once you enter the complete trial balance, the out of balance figure should be zero.

#### How do I handle multi-currency accounts?

**Answer:** Add one row per currency balance and record the currency in the note column. Load the balances in the currency your target system expects, and verify the revaluation settings after the load.

#### Should I migrate history or just balances?

**Answer:** Many SMBs load opening balances plus summarized monthly history for comparative reporting, and keep the old system read-only for detail. Decide with your auditors and document the choice.
