## Short answer

A step-by-step checklist for creating, releasing, issuing to, receiving from and closing a production order in SAP Business One.

## Category

sap

## Erp

SAP Business One

## Industry

Discrete Manufacturing

## Audience

- B1 consultant
- Production planner
- Plant manager

## Tool

**Kind:** checklist

**Groups:**

#### 1. Master data before you create the order

**Items:**

**Text:** Finished good item is flagged as inventory item and has a Production BOM (type Production) with a valid quantity

**Critical:** true

**Text:** Component items have the correct inventory UoM and valuation method (standard, moving average or FIFO)

**Critical:** true

Issue method on each BOM line is set deliberately: Manual or Backflush

Default warehouse is set on the BOM header and on each component line

Phantom components are marked as phantom only where you want them exploded and not stocked

Resources and routing stages used on the BOM exist if you track capacity or labor

Scrap percentage on BOM lines reflects real yield, not a guess carried from the last system

#### 2. Create and plan the order

**Items:**

**Text:** Order type chosen: Standard, Special or Disassembly, matching what the shop will actually do

**Critical:** true

Product number, planned quantity, warehouse and start and due dates are filled in

Linked sales order or project is referenced where the build is make to order

Components list was reviewed after the BOM loaded, and any one-off changes are made on the order and not on the BOM

**Text:** Component availability was checked in the inventory status or stock availability view

**Critical:** true

Remarks or UDFs carry the work instruction or drawing revision reference

#### 3. Release and issue components

**Items:**

**Text:** Order status moved from Planned to Released only when materials and capacity are confirmed

**Critical:** true

Issue for Production documents are posted for every Manual-issue component

**Text:** Backflush components are confirmed to have stock in the right warehouse, or the receipt will fail or go negative

**Critical:** true

Batch or serial numbers are selected on issue for managed items

Over-issue and substitute components are posted as extra lines with a reason noted

Negative inventory setting in General Settings is understood and is not hiding shortages

#### 4. Receive finished goods

**Items:**

**Text:** Receipt from Production is posted against the production order, not as a manual goods receipt

**Critical:** true

Received quantity matches good output, and rejected quantity is handled separately

Batch or serial numbers for the finished good are created on receipt

Partial receipts are posted as they happen on long builds

Receipt warehouse and bin location are correct for downstream picking

#### 5. Close and review

**Items:**

**Text:** All planned issues and receipts are posted before closing, because a Closed order cannot take further postings

**Critical:** true

Variance between planned and actual component quantity is reviewed

**Text:** Order status set to Closed, which posts the production variance to the journal

**Critical:** true

Production variance account mapping is verified in Administration, Setup, Financials, G/L Account Determination

Open production orders report is run at period end so nothing stays Released by accident

Lessons from large variances go back into BOM quantities or scrap percentages

**Scoring Note:** Critical items carry more weight. A production order process with unchecked critical items is the usual source of negative stock, wrong cost of goods and variances that surface at month end.

## Content

**Intro:** A production order in SAP Business One touches inventory, costing and the general ledger in one document, so a missed step shows up later as negative stock or a strange variance. This checklist follows the order life cycle from master data to close so a planner or B1 consultant can run it every time.

**Sections:**

#### How to use this checklist

**Body:** Work through the five groups in order for your first few orders, then keep it as a go-live or audit aid. Tick items as you confirm them in the system, not from memory. Critical items are those where a skip causes a posting you cannot easily reverse, such as closing an order before the last receipt. Export the result to PDF or Excel to attach to a go-live sign-off or a test script. If your process differs, for example you only use backflush, mark the not-applicable items as ticked and write the reason in your own copy.

**Bullets:**

- Use it during user acceptance testing with real BOMs
- Re-run it after changing G/L account determination
- Keep one copy per product family with different issue methods

#### The life cycle behind it

**Body:** A B1 production order moves through Planned, Released, Closed and Cancelled statuses. Planned orders reserve nothing and let you edit freely. Releasing the order allows Issue for Production and Receipt from Production documents to reference it. Closing the order stops further postings and books the variance between standard or planned cost and actual issued cost. This is why the order of operations matters: finished goods should be received while the order is Released, and the close should be the last act.

#### Issue methods and costing

**Body:** Manual issue means someone posts an Issue for Production, usually from a pick. Backflush issues components automatically when you post the receipt of finished goods, in proportion to the quantity received. Backflush is fast but it assumes the stock is in the warehouse on the BOM line, and it hides component shortages until the receipt. Costing depends on your item valuation method. With standard cost, the close posts a variance. With moving average or FIFO, the finished good takes the actual component cost, so wrong issues flow directly into inventory value.

#### Common mistakes

**Body:** The most frequent problems come from the same few habits. Fixing them is mostly discipline and a clear owner for the close step.

**Bullets:**

- Receiving finished goods with a manual goods receipt, which breaks the link to the order and its cost
- Closing orders early to clean up a report, then needing to post a late scrap
- Letting negative inventory go through on backflush and fixing it at stock count
- Editing the BOM when only one order needed a change
- Ignoring the production variance account until the auditors ask

**Cta:** If your planners keep chasing open or stuck production orders, we can build a read-only report or agent over B1 that lists orders by status, age and variance. Ask for a short review of your set-up.

**Faq:**

#### What are the production order statuses in SAP Business One?

**Answer:** The statuses are Planned, Released, Closed and Cancelled. Planned orders can be edited freely. Released orders accept issue and receipt documents. Closed orders accept no further postings and book the variance. Cancelled orders are not used for production but remain for reference.

#### Should I use backflush or manual issue?

**Answer:** Use backflush when consumption is predictable and stock accuracy is good, because it saves postings. Use manual issue for expensive, serial or batch controlled parts where you want the exact lot recorded and shortages caught before the receipt.

#### Can I reopen a closed production order?

**Answer:** No. A closed production order cannot take new issues or receipts. If you closed too early, you normally correct with an inventory transaction or a new order. This is why the close step should be a controlled decision, checked against the variance report.

#### Why does my backflush receipt fail?

**Answer:** The usual cause is a component with insufficient stock in the warehouse on the BOM line while negative inventory is not allowed. Check item stock by warehouse, the issue method and the default warehouse on the BOM line before posting again.
