## Erp

SAP EWM

## Audience

- SAP EWM consultant
- Cutover manager
- Warehouse operations manager

**Key:** wh

**Type:** text

**Default:** W100

#### Go-live date

**Key:** golive

**Type:** date

**Default:** 2026-11-16

#### Transaction freeze start

**Key:** freeze_start

**Type:** text

**Default:** Friday 18:00 local time

#### Stock take method

**Key:** count_method

**Type:** select

**Options:**

- Full physical count
- ABC cycle count before freeze
- Reconcile from legacy system only

**Default:** Full physical count

#### Cutover manager

**Key:** lead

**Type:** text

**Default:** A. Morgan

#### Rollback decision point

**Key:** rollback

**Type:** text

**Default:** Sunday 14:00, after reconciliation

#### Scope notes

**Key:** scope

**Type:** textarea

**Default:** Inbound, putaway, picking, packing and outbound for all finished goods bins. Raw material store stays on the legacy system.

**Blocks:**

#### Cutover Plan: {{project}}

**Body:** Warehouse number: {{wh}}
Go-live date: {{golive}}
Cutover manager: {{lead}}

Scope: {{scope}}

#### 1. Preparation

**Body:** Confirm configuration transported and tested, master data signed off, users trained, RF devices and printers verified. Agree the freeze window and notify suppliers, carriers and customers.

Transaction freeze starts: {{freeze_start}}

#### 2. Stock take and reconciliation

**Body:** Method: {{count_method}}

Count results are compared with legacy system stock by material, batch, and status. Differences above the agreed tolerance are investigated before load.

#### 3. Cutover task list

**Table:**

**Columns:**

- Step
- Task
- Owner
- Start
- Duration
- Done

**Rows:**

**0:** 1

**1:** Stop legacy movements

**2:** Ops manager

**0:** 2

**1:** Close open deliveries and transfer orders

**2:** Warehouse lead

**0:** 3

**1:** Extract final legacy stock

**2:** Data lead

**0:** 4

**1:** Load storage bins and stock

**2:** EWM lead

**0:** 5

**1:** Reconcile EWM stock to count

**2:** Inventory control

**0:** 6

**1:** Release open inbound and outbound deliveries

**2:** Planner

**0:** 7

**1:** Run smoke test on RF and printing

**2:** Super user

#### 4. Go/no-go and rollback

**Body:** Go/no-go review is held at the rollback decision point: {{rollback}}. Criteria include stock reconciled within tolerance, RF and printing working, critical interfaces passing, and key users available. If a criterion fails and cannot be fixed in time, execute the rollback procedure and resume legacy operations.

#### 5. Hypercare

**Body:** A daily stand-up, an issue log with severity, and a named support rota run for the agreed hypercare period. Track open deliveries, stuck warehouse tasks and stock differences each day.

#### Approvals

**Signatures:**

- Cutover manager
- Warehouse operations manager
- EWM lead
- Business sponsor

**Notes:** This template is a starting point. Adapt freeze windows, tolerances and rollback steps to your system landscape and operating calendar.

## Content

**Intro:** A warehouse cutover has a small time window and almost no tolerance for surprises. This template gives a structure for the weekend: freeze, count, load, reconcile and decide, so everyone knows what happens in what order.

**Sections:**

#### How to use the template

**Body:** Fill in the project fields at the top and the document updates in real time. Add dates and durations to the task table, assign each task to a named person, and export to PDF or Word for distribution. Share it with warehouse supervisors as well as IT. Review it in a dry run before the real cutover and update durations based on what you measured, because estimates made on paper are usually optimistic.

**Bullets:**

- Assign every step to one person
- Measure durations in a rehearsal
- Agree rollback criteria before the weekend
- Print the plan for the control room

#### Choosing the stock take method

**Body:** A full physical count gives the cleanest start but needs the most labor and downtime. Counting high-value or fast-moving items before the freeze and reconciling the rest from the legacy system can shorten the window, with more risk of hidden differences. Reconciling from the legacy system alone is only sensible if inventory accuracy is already proven high. Pick the method based on measured accuracy, not on schedule pressure.

#### Go/no-go thinking

**Body:** Define go/no-go criteria in advance and make them measurable: reconciled stock within a stated tolerance, no open critical defects in inbound or outbound flow, RF devices and label printing tested on the live system, and enough trained users on shift. A decision made at 2 pm on Sunday under pressure is poor if criteria were not written down on Thursday.

#### Common mistakes

**Body:** Cutover plans fail on dependencies that were never written down.

**Bullets:**

- Open deliveries left in limbo at the freeze
- Stock in transit between warehouses not accounted for
- No plan for supplier receipts arriving during the freeze
- Printers and RF networks tested only in the test system

**Cta:** If you want an automated stock reconciliation between legacy and EWM that runs on your own servers during cutover, we can discuss building one for your project.

**Faq:**

#### How long should the freeze window be?

**Answer:** It depends on warehouse size, count method and load volumes. Rehearse the full sequence on a copy of production data to measure it. Most teams find the first rehearsal runs well over the planned time.

#### Do we need a rollback plan?

**Answer:** Yes. Even if you never use it, defining the point after which rollback is no longer possible forces clarity. Document who can authorize it and what steps restore legacy operations.

#### What happens to open deliveries at cutover?

**Answer:** Decide per document type. Common options are to complete them before freeze, cancel and recreate them in the new setup, or transfer them with a controlled procedure. The key is a written rule per case.

#### Is this a legal or contractual document?

**Answer:** No. It is an operational plan template. If your project contract defines acceptance criteria, align the go/no-go list with them and have your own reviewers approve the final version.
