Confirm count dates, teams and storage locations in scope

**Text:** Clear open goods movements and unposted material documents

**Critical:** true

Check that batch and serial numbers exist for managed items

**Text:** Review tolerance groups for inventory differences per user

**Critical:** true

Verify storage location and plant calendars are correct

Confirm which special stocks are counted (consignment, subcontracting, project)

Inform purchasing and production about the posting freeze

#### Create documents and freeze

**Items:**

**Text:** Create physical inventory documents with MI01 for the selected items

**Critical:** true

**Text:** Set the posting block or freeze book inventory where counting is wanted

**Critical:** true

Print count documents with MI21 and hand out to counters

Check that number of items per document matches the counting team capacity

Record the planned count date on each document

Separate high value items for a second counter

#### Count and enter

**Items:**

**Text:** Count with no stock movement in the freeze area

**Critical:** true

**Text:** Capture counts including unit of measure and batch

**Critical:** true

**Text:** Enter results with MI04 against the inventory document

**Critical:** true

Mark items with zero count explicitly rather than leaving blank

Review count entry errors and blank lines before leaving the warehouse

Keep signed count sheets or scan evidence for audit

#### Review and recount

**Items:**

**Text:** Run MI20 to list differences by value and quantity

**Critical:** true

Rank differences by value and investigate the largest first

Check for unposted goods receipts, issues or open transfers

**Text:** Order recounts for differences above the agreed threshold

**Critical:** true

Compare recount with first count and record the cause

**Text:** Obtain approval from finance for high value differences

**Critical:** true

#### Post and close

**Text:** Post differences with MI07 once approved

**Critical:** true

**Text:** Check posted material documents and the G/L entries for inventory difference accounts

**Critical:** true

Remove the posting block and unfreeze stock

Reconcile stock value with the balance sheet account

Document root causes and corrective actions for repeated differences

Update cycle counting indicators with MIBC if the ABC classification changed

Archive count sheets and approval evidence per retention policy

**Scoring Note:** Tick each step as you complete it. Items marked critical should be completed before you post differences. The result can be exported as PDF for the count file.

## Content

**Intro:** A physical inventory in SAP goes wrong when the posting freeze is missed, counts are entered without evidence or differences are posted without review. This checklist walks through the full cycle from planning to posting.

**Sections:**

#### How to use the checklist

**Body:** Work through the groups in order and tick items as they are done. The critical items are the ones that protect stock accuracy and audit evidence, such as freezing movements, entering counts against the document and getting approval before posting. Export the completed list to PDF and file it with the count sheets so auditors see the control steps along with the results.

#### The SAP process behind it

**Body:** You create a physical inventory document with MI01, optionally freezing the book inventory so goods movements cannot change the expected quantity. Counters enter their results with MI04. MI20 lists the differences between counted and book quantity. Once reviewed and approved, MI07 posts the difference, creating a material document and accounting entries for gains or losses. Cycle counting uses indicators assigned through MIBC so fast moving or high value items are counted more often.

**Bullets:**

- MI01: create the count document
- MI04: enter count results
- MI20: review differences
- MI07: post differences
- MIBC: ABC analysis for cycle counting

#### Common mistakes

**Body:** The usual causes of bad counts are unposted movements during the count, wrong unit of measure and batch mix-ups. Another is posting differences immediately after the first count with no recount rule for high value items. Skipping the tolerance group setup means any user can post large differences. Finally, forgetting special stocks like consignment and subcontracting leaves a hole in the stock reconciliation that surfaces at audit.

**Cta:** If you want stock accuracy and count differences monitored continuously from your SAP data, we can set up read-only dashboards and alerts on top of your system.

**Faq:**

#### What is the difference between freezing book inventory and a posting block?

**Answer:** Freezing book inventory records the expected quantity at the time of document creation so later movements do not alter the comparison. A posting block stops all goods movements for the item. Use the block when movements would distort the count and cannot be controlled otherwise.

#### How is cycle counting different from annual inventory?

**Answer:** Annual inventory counts all items once at a set date. Cycle counting counts items at different intervals based on their ABC indicator, so high value items are counted more often during the year. Both use the same documents and transactions.

#### Who should approve inventory differences?

**Answer:** Set approval thresholds by value with finance and operations. Tolerance groups in SAP limit what a user can post. Differences above the limit should be reviewed, recounted if needed, and signed off before MI07 is run.

#### Can I count special stock the same way?

**Answer:** Yes. Physical inventory covers special stocks such as consignment and subcontracting stock by setting the special stock indicator in the document. Plan for these separately, because the stock is held by or for a business partner.
