**Notes:** The score weights acceptance rate 70 percent and PPM 30 percent, deducting 5 points per open complaint, and treats 100,000 PPM or more as zero on the PPM part. These weights are examples. Agree your own weights with purchasing and compare against your SAP vendor evaluation configuration.

## Content

**Intro:** SAP vendor evaluation can take a quality score from QM, but suppliers often ask how the number is made. This worksheet lets you calculate acceptance rate, defective PPM and a weighted score from raw counts and test your weights before you change anything in the system.

**Sections:**

#### How to use it

**Body:** Enter one row per vendor for the period, using inspection lot counts from QM lot reports (for example from QA32 filtered by vendor and date) and received and rejected quantities from the usage decisions. Open complaints can come from quality notifications of type vendor complaint. The score, acceptance rate and PPM calculate in each row.

**Bullets:**

- Use the same period for all vendors
- Count only lots with a usage decision
- Take rejected quantity from the defect records or the rejected usage decision
- Review vendors with fewer than ten lots with care

#### The formulas

**Body:** Lot acceptance rate is accepted lots divided by inspected lots, times 100. Defective PPM is rejected quantity divided by received quantity, times one million. The score converts PPM into a 0 to 100 figure by dividing PPM by 1,000 and subtracting from 100 with a floor at zero, then blends it with the acceptance rate and deducts a penalty per open complaint. The result is limited between 0 and 100.

#### Reading the table

**Body:** A vendor with 100 percent lot acceptance and a few PPM sits near 100. A vendor with good acceptance but high rejected counts on very large lots shows up through PPM. Use both. A low lot count makes the rate unstable: one rejected lot out of four moves the rate by 25 points.

#### Common mistakes

**Body:** Mixing units of measure so quantities are not comparable. Using PPM on a sample quantity instead of on lot quantity. Counting a lot twice after a re-inspection. Using a score alone to block a vendor without looking at the failure mode and corrective action.

**Cta:** If you want vendor scores calculated straight from SAP data, Netray can help read inspection and complaint data without changing vendor evaluation.

**Faq:**

#### Is this the same as SAP vendor evaluation?

**Answer:** No. SAP vendor evaluation uses criteria and weights you configure in purchasing. This worksheet lets you test an approach with spreadsheet data. Use it to agree weights before configuring the system.

#### What is a good PPM level?

**Answer:** It depends on the part and the customer. Automotive suppliers often agree targets of tens of PPM or lower, while commodity parts may allow thousands. Set targets per commodity with your customers and suppliers.

#### Why does the score drop with complaints?

**Answer:** Complaints show problems that inspection did not catch. The five-point penalty is an example weight that you can change when you adapt the method in your own scorecard.

#### Can I use it for incoming inspection by skip lot?

**Answer:** Yes, but lots skipped are not inspected. Count only inspected lots, and keep the skipped lots visible in a note so the acceptance rate is not read as full coverage.
