**Disclaimer:** A planning aid for a retroactive single-threshold rebate. SAP calculates actual accruals from billing documents and the configured condition record. Marginal scales, multiple tiers and capped agreements need a different formula. Confirm accounting treatment with your finance team.

## Content

**Intro:** Finance wants a number for the rebate accrual, SD consultants want to test the agreement before building it. This calculator estimates the full-period rebate and the accrual to date for a retroactive threshold agreement.

**Sections:**

#### How to use the calculator

**Body:** Enter qualifying sales to date and your forecast for the remainder of the agreement. Add the threshold and the rate that applies once the threshold is reached. The chart shows how the projected rebate jumps when the forecast pushes total sales above the threshold. Use the confidence selector to accrue only part of the amount when qualification is uncertain, in line with your company policy.

#### The formula behind it

**Body:** Projected sales equal sales to date plus forecast. If projected sales reach the threshold, the retroactive rebate is projected sales multiplied by the rate. The accrual to date is the projected rebate multiplied by the share of sales already billed, then by the confidence factor. Open balance subtracts amounts already settled. This mirrors how many companies estimate accruals when SAP accruals are not yet reliable.

**Bullets:**

- Rebate = projected sales x rate if threshold reached
- Accrual = rebate x (sales to date / projected sales)
- Open = accrual less settled
- Gap = threshold less projected sales

#### Worked example

**Body:** With 320,000 billed and 210,000 forecast, projected sales are 530,000 and the 500,000 threshold is reached. At 3%, the full-period rebate is 15,900. About 60.4% of sales are billed, so the accrual to date is roughly 9,600 before any settlement. If the forecast falls to 150,000, projected sales are 470,000, the threshold is missed and the accrual is zero.

#### Common mistakes

**Body:** The usual errors are including freight and tax in qualifying sales, using gross rather than net value, treating a marginal scale as retroactive, and accruing in full when qualification is doubtful. Also remember that returns and credit memos reduce qualifying sales. Compare your result with the accrual SAP posts through the rebate condition and investigate any large difference.

**Cta:** If your SAP accrual and your forecast disagree, Netray can help reconcile them against billing data in a read-only way and show the differences by customer.

**Faq:**

#### Is this how SAP calculates rebates?

**Answer:** SAP calculates rebate accruals at billing from the condition record and the pricing procedure, and settles from the rebate index. This calculator estimates the same result for a simple retroactive threshold so you can test or sanity check.

#### What is a retroactive rebate?

**Answer:** A retroactive rebate applies the achieved rate to all qualifying sales from the beginning of the period once the threshold is reached, rather than only to sales above the threshold.

#### How should uncertain rebates be accrued?

**Answer:** That depends on your accounting policy and reporting standard. Many companies accrue only when qualification is probable. Use the confidence selector to test cases, and agree the policy with your controller.

#### Does it handle multiple tiers?

**Answer:** No, it models one threshold and one rate. For tiered scales, run the calculator once per tier or use the scale lines in the condition record and compare with SAP output.
