## Short answer

A practical checklist covering design, master data, integration, mobile devices and cutover for a WM to EWM move.

## Category

sap

## Erp

SAP S/4HANA

## Audience

- SAP EWM consultant
- Warehouse project manager
- SAP basis

## Tool

**Kind:** checklist

**Groups:**

#### Scope and design

**Items:**

**Text:** Deployment option decided (embedded EWM or decentralized EWM) and agreed with SAP basis

**Critical:** true

**Text:** Each warehouse number mapped to an EWM warehouse and a supply chain unit

**Critical:** true

Storage types reviewed one by one; WM workarounds not copied by default

**Text:** Interim storage types redesigned as staging areas, work centers or door bins

**Critical:** true

Putaway and removal rules documented per product group

Warehouse process types and determination defined

Wave and warehouse order creation rules designed with supervisors

Handling unit policy decided per process (pallet, carton, loose)

#### Master data

**Items:**

**Text:** Warehouse product data cleansed, including units of measure and dimensions

**Critical:** true

**Text:** Packaging specifications defined for products handled in HUs

**Critical:** true

Storage bin structure and sorting attributes defined

Bin capacity and bin type data reviewed

Batch management settings aligned between ERP and EWM

Business partner and owner data set up where needed

Activity areas, resources and work centers created

#### Integration and interfaces

**Items:**

**Text:** Delivery integration between ERP and EWM tested for inbound and outbound

**Critical:** true

**Text:** Goods movement posting back to ERP tested, including reversals

**Critical:** true

Stock reconciliation report agreed between ERP and EWM

Interfaces to carriers, label printers and conveyors identified

Error handling and monitoring defined for queued messages

Custom code from WM reviewed for rewrite or retirement

Authorisation roles drafted for supervisors and operators

#### RF, printing and devices

**Items:**

**Text:** RF screen flows designed and tested on real devices

**Critical:** true

Handheld hardware and Wi-Fi coverage checked in all areas

Label formats for HUs and bins defined and printed on the real printers

Operator training plan scheduled with enough hands-on time

Super user group named per shift

#### Cutover and go-live

**Items:**

**Text:** Stock migration approach chosen (inventory based load or physical count)

**Critical:** true

**Text:** Open transfer orders and deliveries cleared or migrated before cutover

**Critical:** true

Physical inventory plan agreed around the cutover window

**Text:** At least one full dress rehearsal of the cutover completed

**Critical:** true

Rollback criteria and decision time agreed

Hypercare roster covers all shifts for the first weeks

Daily stock reconciliation scheduled for the first weeks

**Scoring Note:** Every critical item should be ticked before go-live. If more than two critical items are open, treat that as a reason to review the date.

## Content

**Intro:** Moving from WM to EWM changes how work is organised, not only the screens. This checklist groups the tasks that most often slip, from design decisions to cutover, and flags the ones that should block go-live if left open.

**Sections:**

#### How to use the checklist

**Body:** Work through each group with the relevant owners and tick the items you can evidence, such as a signed design document, a test result or a completed rehearsal. Items marked critical are those that, in practice, cause disruption on the floor when missed. Export the checklist to PDF to attach it to a gate review, or to Excel to add owners and dates.

#### Why these groups

**Body:** Design problems come from copying WM structures. Master data problems are the biggest hidden cost, since EWM needs dimensions, units and packaging data that WM often lacked. Integration issues appear at the boundary with ERP where deliveries and postings flow. Device and printing issues are small technically but stop work immediately on the first day. Cutover is its own risk because stock and open documents have to match between two systems at one moment.

#### Common mistakes

**Body:** Projects commonly start RF testing too late. Operators then see the screens for the first time during training and find flow problems that need design changes. Another frequent mistake is migrating stock without clearing open transfer orders, which leaves stock in states that cannot be mapped. Plan a freeze period for new orders before cutover and agree how late deliveries are handled.

**Cta:** If you want a second review of your EWM readiness, or help building data quality checks on warehouse product data, we can walk through the list with you.

**Faq:**

#### Do I need to count stock for the migration?

**Answer:** Not always. Many projects load stock from WM and reconcile, then count afterwards. Others count during the cutover window. The right approach depends on stock accuracy, value and downtime tolerance, and should be agreed with finance and auditors.

#### How long does a WM to EWM project take?

**Answer:** It varies widely with warehouse count, automation and customisation. A single simple warehouse can take a few months, while multi-site projects with automation take much longer. Treat any quick estimate with care until the design is known.

#### What is the most underestimated task?

**Answer:** Master data preparation. EWM needs accurate product dimensions, weights, units of measure and packaging specifications, which are often incomplete in WM. Cleaning them takes real effort from business owners, not just IT.

#### Should I use embedded or decentralized EWM?

**Answer:** Embedded EWM runs in the S/4HANA system and is simpler to operate for many companies. Decentralized EWM runs in a separate system and suits very high volume or separate release cycles. Decide with SAP basis, based on volume and landscape.
