## Content

**Intro:** A good shift report takes five minutes to write and saves an hour of hunting for answers the next morning. This template covers output against target, scrap, downtime events, safety, staffing and a clear handover, and exports to a document your supervisors can print or send.

**Sections:**

#### How to use the template

**Body:** Fill the fields at the top with plant, line, date, shift and supervisor, then enter planned minutes, downtime, target and actual good units and scrap. Write safety observations, the main issues and the handover in plain sentences. The jobs and downtime tables print blank so you can write in details by hand, or you can export to Word or Excel and type them in. Keep the language specific, naming the machine, job number and time. A line like machine stopped for part wait tells the next shift nothing, while spindle alarm on mill 4 for 38 minutes tells them where to look.

#### What a useful shift report contains

**Body:** The best reports are short and consistent. They state output against target in the same units every time, show the minutes lost with a reason, call out safety and quality events, and end with specific handover instructions. Consistency matters more than detail, since a report that follows the same structure each shift can be compared and trended. The same report also feeds the daily production meeting, giving the plant manager the story behind the numbers without a walk of the floor.

**Bullets:**

- Output versus target, good units only.
- Downtime with start, end, machine and reason.
- Scrap and rework counts with the cause if known.
- Safety observations, including near misses.
- Open jobs and what the next shift must do first.

#### Getting more from the numbers

**Body:** From the sample values, the line made 781 of 840 target units, about 93 percent attainment, after 62 minutes of unplanned downtime out of 450 planned. That is an availability near 86 percent before speed and quality losses. Collecting the same fields every shift lets you total them weekly and spot patterns, such as the same tool crib wait recurring on evenings. A simple spreadsheet of these reports is enough to start a loss analysis, and the six big losses worksheet helps classify what you find.

#### Common mistakes

**Body:** Frequent problems are free text so vague it cannot be used, targets that change from shift to shift without being recorded, and counting total units instead of good units. Another is writing the report from memory the next day. Fill it in during the last twenty minutes of the shift, ideally with the downtime log beside you. If your ERP or MES already records confirmations, check the quantities in the report against it at least weekly so the two stay consistent.

**Cta:** If you would like these reports prefilled from work order confirmations and downtime codes in your ERP or MES, Netray can set that up on your own data. The template works without it.

**Faq:**

#### What should a shift production report include?

**Answer:** At minimum: date, line, shift, supervisor, planned time, output versus target, scrap, downtime events with reasons, safety notes, open issues and handover instructions. Keep the same structure every shift so reports can be compared over time.

#### How long should a shift report take to complete?

**Answer:** About five to ten minutes if the data is gathered during the shift. If it takes longer, the form is too long or the information is hard to find. Trim fields no one reads and keep the ones that drive decisions.

#### Should the report show OEE?

**Answer:** It can, but only if planned time, ideal cycle time and good counts are defined consistently. Many plants show the raw inputs on the shift report and calculate OEE centrally, which avoids arguments about definitions on the floor.

#### Can this replace an MES?

**Answer:** No. It is a lightweight record for sites without electronic capture, or a supplement to one. An MES records events automatically and in real time. The template is useful for handover, for review meetings and as a starting point for design.
