**Notes:** Report hard savings (actual price reductions against a documented baseline) separately from soft savings and cost avoidance, which finance often excludes. Set the baseline as the last paid price or an agreed benchmark, and keep it fixed. For cost avoidance, enter the avoided increase as the baseline and the new price as the accepted price, and mark it Soft.

## Content

**Intro:** Procurement teams are asked to prove their savings, and the proof is only as good as the baseline. This worksheet records the baseline, the new price and the volume for every line so the number holds up in a review with finance.

**Sections:**

#### How to use it

**Body:** Add one row for each item and initiative. Enter the baseline unit price, the new unit price and the annual quantity. The sheet calculates annual saving and percent saved, and totals the column. Tag each line with a savings lever and mark it Hard or Soft. Export to Excel to filter by supplier or lever, or to share with finance as the supporting schedule for your savings claim.

#### The formula and definitions

**Body:** Annual saving is baseline price minus new price, multiplied by annual quantity. Percent saved is the price difference divided by the baseline. Hard savings are actual reductions in what you pay against a stated baseline. Soft savings and cost avoidance, such as a negotiated reduction of a proposed increase, are real but are normally reported separately because they do not reduce the previous year's spend.

**Bullets:**

- Saving = (baseline - new price) x quantity
- Percent = (baseline - new) / baseline
- Hard = lower price against paid baseline
- Soft = avoided or non-price benefit

#### Reading the result

**Body:** Look at the total and at how it divides by lever. A tracker dominated by cost avoidance will not show up in the income statement, while one dominated by renegotiation of high-volume items usually will. Check the quantity column against last year's actuals, since savings on forecast volume that never arrives are paper savings. Review the tracker monthly so volume shifts are caught early.

#### Common mistakes

**Body:** Teams often use a stale or inflated baseline, such as a list price nobody paid. Others count the full annual saving in the month the deal is signed instead of prorating from the effective date. If your finance team requires in-year figures, multiply the annual saving by the share of the year remaining. In your ERP, pull the baseline from the last purchase order price or the standard cost, and the new price from the updated info record.

**Cta:** If you want savings measured automatically from purchase order price changes in your ERP, Netray can build that as a read-only report.

**Faq:**

#### What is the right baseline?

**Answer:** The last price actually paid, or an agreed benchmark documented before the negotiation. Avoid list prices or quotes you never accepted, since they inflate savings and fail audits.

#### How do I treat cost avoidance?

**Answer:** Record it, mark it Soft, and report it separately from hard savings. It shows negotiation value but should not be added to the reduction in spend that finance will look for.

#### Should I prorate savings?

**Answer:** For in-year reporting, yes. Multiply the annualized saving by the fraction of the year after the effective date. For annualized run-rate reporting, use the full annual number and say so.

#### Can I track multiple currencies?

**Answer:** Convert to one currency at a fixed budget rate for the tracker, and note the rate. Mixing live exchange rates makes savings look like they come from currency movement.
