#### Cutover window in days (sequential)

**Key:** window_days

**Primary:** true

**Description:** Total buffered hours divided by 24, assuming tasks run one after another around the clock.

#### Average buffer

**Key:** avg_buffer

**Expr:** avg_buffer

**Format:** percent

**Notes:** Tasks that can run in parallel will shorten the real window, so treat the total as the worst case and mark the critical path. Add a go or no-go decision row before the switch and agree who has authority to call a rollback.

## Content

**Intro:** A cutover is a timed sequence of dependent tasks with a decision point where you can still go back. This worksheet lays that out with owners, buffers and rollback points so everyone knows what happens at 2 a.m. on Sunday.

**Sections:**

#### How to build the runbook

**Body:** List every task from the last legacy transaction to the first production transaction in SyteLine. Give each a sequence number, an owner, planned hours and a buffer for risk. The sheet computes buffered hours and the total window. Mark rollback points, which are the steps up to which you can still restore the legacy system without data loss. Print the export and use it as the checklist during the weekend.

**Bullets:**

- One named owner per task.
- Time each step from the rehearsals.
- Mark the go or no-go decision.
- Record actual hours for next rehearsal.

#### Phases of a typical cutover

**Body:** Freeze stops transactions in the legacy system. Extract takes final data. Load brings it into SyteLine in dependency order. Reconcile proves quantities and values tie to the legacy ledger. Switch enables production users and closes the old system. Verify runs smoke tests, and hypercare covers the first weeks. Skipping reconcile is the classic mistake, since errors found later are expensive.

#### Setting buffers and the window

**Body:** Use buffers from rehearsals, not guesses. Early dry runs often take twice the planned time. Loads and reconciliations deserve the largest buffers, while a login switch needs little. If the buffered window exceeds the downtime the plant can tolerate, split work: pre-load static master data days earlier and leave only balances and open transactions for the final weekend.

#### Rollback and communication

**Body:** Decide in advance the criteria for rollback, such as a reconciliation variance above a tolerance or a failed smoke test on shipping. Name who decides and by what time. Share a contact list for the weekend, tell customers and suppliers about downtime, and have a manual fallback for shipping and receiving until confidence is established.

**Cta:** We can help plan hypercare monitoring and read-only checks against your SyteLine data during the first weeks after go-live.

**Faq:**

#### How long does a SyteLine cutover take?

**Answer:** For a single site manufacturer it is commonly a weekend, with master data loaded earlier. Multi-site, high volume or heavy history migrations take longer. Your own rehearsal timings are the only reliable estimate.

#### How many rehearsals should we run?

**Answer:** At least two full dress rehearsals timed against the runbook, ideally on a recent copy of production data. Each should end with the same reconciliation you will use at go-live.

#### What is a rollback point?

**Answer:** A step after which you can still return to the legacy system with no loss of business data. After you switch users and start posting new transactions in SyteLine, rolling back becomes a data problem, so the decision must be made before that.

#### Should the buffer be the same for every task?

**Answer:** No. Apply larger buffers to tasks with high uncertainty, like large loads and reconciliations, and small ones to simple switches. Replace guesses with measured rehearsal data as soon as you have it.
