## Content

**Intro:** This calculator builds the main boxes of a UK VAT return from your sales and purchases and shows how postponed VAT accounting (PVA) for imports flows through Boxes 1 and 4. It suits UK manufacturers who import components and want to sanity-check a return before filing through Making Tax Digital software.

**Sections:**

#### How to use it

**Body:** Enter the net values for the VAT period: sales split by rate, purchases by rate and the value of imports where you account for import VAT on the return. Adjust the rates if you are modelling a historical period. The calculator returns Box 1 (VAT due), Box 4 (VAT reclaimed), Box 5 (net amount) and the net values for Boxes 6 and 7. A negative Box 5 means a repayment is due. Use the chart to see how the result moves as standard-rate sales change.

#### How postponed import VAT works

**Body:** With postponed VAT accounting, a VAT-registered importer does not pay import VAT at the border. Instead the VAT is declared in Box 1 and, where the goods are for taxable business use, reclaimed in Box 4 on the same return. The net effect on cash is nil, which improves cash flow compared with paying VAT up front and reclaiming it later. The monthly postponed import VAT statement from HMRC is the document to reconcile to your records.

**Bullets:**

- Box 1 includes postponed import VAT
- Box 4 includes the same amount if recoverable
- Box 7 includes the value of imported goods
- Reconcile to the HMRC monthly statement

#### Worked example

**Body:** With standard sales of 480,000, reduced sales of 0, zero-rated sales of 120,000, standard purchases of 260,000, reduced purchases of 4,000 and imports of 90,000 under PVA, Box 1 is 96,000 plus 18,000, so 114,000. Box 4 is 52,000, 200 and 18,000, so 70,200. Box 5 is 43,800 to pay. Box 6 is 600,000 and Box 7 is 354,000. The PVA amount has no net effect, which you can confirm in the last output.

#### Registration and common mistakes

**Body:** The compulsory UK registration threshold is set by HMRC and has been 90,000 pounds of taxable turnover since April 2024, so confirm the current figure. Mistakes to avoid include forgetting to include PVA in both boxes, treating exports as exempt rather than zero-rated, reclaiming VAT without a valid invoice, and using VAT-inclusive figures. Reconcile VAT control accounts to the return and keep supporting documents for the required period.

**Cta:** If you want the return boxes reconciled automatically from your ERP tax codes and import records, Netray can help prepare a read-only extract you can check against your filing software.

**Faq:**

#### What are the UK VAT rates?

**Answer:** The standard rate is 20 percent, the reduced rate is 5 percent for specific goods and services, and some supplies are zero-rated. Others are exempt. Check HMRC guidance for the correct treatment of your products.

#### What is postponed VAT accounting?

**Answer:** It lets a VAT-registered business account for import VAT on its VAT return rather than paying at the border. The VAT is shown as output tax in Box 1 and, where recoverable, as input tax in Box 4 on the same return.

#### Is a negative Box 5 possible?

**Answer:** Yes. If reclaimed VAT exceeds VAT due, for example after large capital purchases or if you mostly make zero-rated supplies, the difference is repaid by HMRC subject to normal checks.

#### Does this cover Northern Ireland?

**Answer:** Not fully. Northern Ireland has special arrangements for goods traded with the EU, which affect Boxes 2, 8 and 9. Those boxes are not modelled here, so check HMRC guidance for your situation.
