**Notes:** Rates must come from engineered standards, time studies or your own measured history, not from vendor brochures. The allowance covers personal time, fatigue and unavoidable delay. The headcount line assumes a 40 hour week and 85% attendance after absence and leave; change both to match your own policy and add overtime rules separately.

## Content

**Intro:** Labor is the largest controllable cost in most warehouses, and it is usually planned from last week's headcount. A task-based plan using standard rates tells you how many people the forecast volume actually needs.

**Sections:**

#### How to use the worksheet

**Body:** List each warehouse task as a row, enter the forecast weekly volume and the standard rate in units per hour. Add an allowance percentage for personal time and delay. The sheet calculates base hours, planned hours and the full-time equivalent for a 40 hour week, and totals them. The summary converts total FTE to headcount at 85% attendance. Export to Excel to build scenarios for peak weeks.

#### The method

**Body:** Hours equal volume divided by rate, multiplied by one plus the allowance. FTE equals those hours divided by the standard weekly hours. Dividing FTE by expected attendance accounts for absence, training and leave, which is why headcount is higher than FTE. This is the same engineered-standards approach used in most labor management systems, only done in a spreadsheet.

**Bullets:**

- Use units that match the rate: pallets, lines, cartons or locations
- Include indirect work such as housekeeping and meetings
- Plan peak week and average week separately
- Review standards after process or layout changes

#### Reading the result

**Body:** If planned FTE is far above current headcount, you are paying overtime, running behind, or the standards are unrealistic. If it is well below, either you have slack or the rates are too generous. Compare against actual hours from timekeeping for a few weeks, then adjust the standards where the gap is persistent. The aim is a plan you trust, not a perfect number.

#### Common mistakes

**Body:** Planning direct work only, applying a single allowance to everything, and using peak rates as averages are the usual issues. Another is forgetting that rates differ by item and order profile: a pick of single items is not the same as a pick of full cases. Segment tasks where the work content is genuinely different.

**Cta:** If you want volume forecasts to come straight from your ERP orders and receipts, we can set up a private agent that refreshes this plan for review each week.

**Faq:**

#### How do I calculate warehouse FTE?

**Answer:** Divide the workload hours by the hours one person works in the period. Workload hours come from volume divided by a standard rate, plus allowances. Then adjust for expected attendance to get the headcount you need to hire or schedule.

#### Where do standard rates come from?

**Answer:** From time studies, engineered standards or your own measured history, for example the putaway task log on this site. Avoid using unverified benchmarks. Validate rates against actual performance on a sample of shifts.

#### What allowance should I use?

**Answer:** Typical allowances for personal time, fatigue and delay are in the range of about 10% to 20%, depending on the work and your policies. Use your labor agreements and observed delay rather than a generic number.

#### Does this include supervisors and indirect staff?

**Answer:** Only if you add them as rows. Add indirect tasks such as housekeeping, training, meetings and equipment checks, and list supervisors separately, since they are not driven by volume in the same way.
