## Content

**Intro:** A receiving report is the first control point for inventory accuracy. If the count, condition and lot at the dock are wrong, every downstream number inherits the error. Use this template to make receiving consistent across shifts.

**Sections:**

#### How to use it

**Body:** Complete the delivery header when the truck is at the door, then check each PO line against what is physically on the pallets. Record ordered quantity, received quantity and condition separately so shortages and overages are obvious. Export the finished report to PDF for the file, or to Excel if you keep a daily receiving log. Sign it, and give the driver a copy with any exceptions noted on the carrier's paperwork.

#### What to verify at the dock

**Body:** Check the seal number against the BOL before opening the trailer. Count handling units first, then pieces. Inspect for visible damage before moving anything, because once freight is moved the carrier will dispute liability. Capture lot or serial numbers for controlled items at receipt, not later, since back-filling them from memory is a common source of traceability gaps.

**Bullets:**

- Seal number and condition against the BOL
- Pallet or carton count against the carrier paperwork
- Item and quantity against the PO line, including UoM
- Visible damage, wet cartons, crushed corners
- Lot, date code or serial where required

#### Reading the discrepancy columns

**Body:** A short receipt means you owe the supplier a discrepancy notice and the PO line stays open. An over receipt needs a decision: return, accept within tolerance, or accept and update the PO. Damaged goods should be received to a quarantine or hold location rather than to saleable stock, so they cannot be picked while a claim is pending.

#### Common mistakes

**Body:** Teams often sign the carrier's receipt clean and find shortages later, which weakens any claim. Others receive the whole PO quantity because the packing slip says so, without counting. Receiving into a generic location with the intent to move it later leads to lost stock. Use a staging location, then put away with a documented move.

**Cta:** If receiving data is re-keyed from paper into your ERP, we can show how a private AI agent can match delivery documents to POs and flag discrepancies for a person to approve.

**Faq:**

#### Is a receiving report the same as a goods received note?

**Answer:** They serve the same purpose: a document recording what arrived, in what condition and against which order. Goods received note (GRN) is the common term in India, the UK and Africa, while receiving report is typical in North America.

#### Who should sign the receiving report?

**Answer:** The person who physically counted and inspected the delivery signs as receiver. Many sites also have inventory control or a supervisor review it for exceptions. The driver's signature on your copy shows they acknowledged the noted discrepancies.

#### How long should receiving reports be kept?

**Answer:** It depends on your quality system, customer contracts and tax rules. Many sites keep them at least as long as the related supplier invoice and audit period. Aerospace and regulated industries often require longer retention, so follow your own procedure.

#### Should I receive damaged goods into stock?

**Answer:** Receive them to a hold or quarantine location with the damage documented, not to available stock. That prevents picking while the carrier claim or supplier return is decided, and it keeps your inventory accuracy honest.
