SyteLine Bank Reconciliation Configuration Guide

Bank reconciliation in SyteLine ensures that the GL cash balance agrees with the bank statement balance. The reconciliation process matches system-generated transactions (checks, EFTs, deposits) against bank-reported transactions to identify outstanding items and discrepancies. This guide covers the setup of bank accounts, statement import, automatic matching, and reconciliation posting in SyteLine.

Bank Account Configuration

Bank accounts are defined on the Bank Accounts form (SLBankAccounts IDO) with the bank name, account number, routing number, and linked GL cash account. Each bank account record stores the last reconciled balance and statement date. The bank_acct table holds the configuration while the bank_trans table stores individual bank transactions. Multiple bank accounts can be configured for different currencies, operating entities, or cash management purposes.

  • Create bank account records on the Bank Accounts form linking each to its corresponding GL cash account
  • Configure bank account currency for multi-currency operations to handle foreign currency bank accounts
  • Set the last_reconciled_balance and last_reconciled_date as the starting point for the first reconciliation
  • Define bank transaction types (check, deposit, EFT, wire, service charge) for classification during reconciliation
  • Enable positive pay integration by configuring the bank's file format requirements on the bank account record

Statement Import and Automatic Matching

SyteLine supports bank statement import via BAI2 file format, which most banks provide for electronic statement delivery. The Import Bank Statement utility reads the BAI2 file and populates the bank_stmt table with individual bank transactions. The Auto-Reconcile utility then matches imported bank transactions against system transactions using check number, amount, and date matching rules. Matched items are marked as reconciled; unmatched items appear for manual review.

  • Configure BAI2 import parameters on the Bank Statement Import form with file path and format settings
  • Import bank statements electronically to eliminate manual entry of cleared check and deposit data
  • Auto-Reconcile matches bank items to system transactions by check number (exact match) and amount (within tolerance)
  • Configure matching tolerance for amounts to handle minor bank fee differences or rounding
  • Unmatched bank items appear on the reconciliation work screen for manual investigation and matching

Reconciliation Processing and Posting

The Bank Reconciliation form displays the reconciliation worksheet with matched items, outstanding checks, deposits in transit, and the calculated reconciled balance. The preparer reviews outstanding items, marks additional matches, and enters bank-only transactions (service charges, interest income) as GL adjustments. When the reconciled balance matches the bank statement ending balance, the reconciliation is posted, updating the last_reconciled_balance on the bank account record.

  • Review outstanding checks on the reconciliation worksheet to identify stale items for void processing
  • Enter bank service charges and interest income as adjustment entries during reconciliation
  • Verify that the reconciled GL balance equals the bank statement ending balance before posting
  • Post the reconciliation to update the bank account last_reconciled_balance and clear matched items
  • Print the Bank Reconciliation Report showing reconciling items for audit documentation and month-end files
