SyteLine GL Posting Rules Configuration Guide

GL posting rules in SyteLine control how every financial transaction maps to the general ledger. From inventory movements to production costs to customer invoices, the posting rules determine which accounts are debited and credited. Misconfigured posting rules cause month-end reconciliation nightmares, audit findings, and inaccurate financial statements. This guide covers the configuration of every posting rule category in SyteLine.

Inventory and Product Costing Posting Rules

Inventory posting rules are defined on the Inventory Posting Rules form and link to item records through the product code. The SLInvPostRules IDO maps transaction types (receipt, issue, adjustment, transfer) to specific GL accounts. Product Costing posting rules extend this by defining accounts for each cost element: material, labor, fixed overhead, and variable overhead. Every inventory transaction in the matltran table uses these rules to generate the corresponding GL journal entry.

  • Configure inventory posting rules per product code to separate GL treatment by item category
  • Map receipt transactions to debit raw material inventory and credit GR/IR (goods receipt/invoice receipt) accrual
  • Define issue-to-production postings that debit WIP and credit raw material inventory accounts
  • Set up adjustment posting rules linking reason codes to specific expense or variance accounts
  • Product costing rules must define accounts for material, labor, fixed overhead, and variable overhead elements

AP, AR, and Purchasing Posting Rules

Accounts Payable posting rules map voucher transactions to expense, liability, and accrual accounts. The AP Posting Rules form (SLAPPostRules IDO) defines the default AP liability account and the voucher distribution account. AR posting rules on the AR Posting Rules form map customer invoices to revenue accounts and the AR trade receivable. Purchase order posting rules define the accrual account (GR/IR) used when receipts occur before voucher matching.

  • AP posting rules set the default AP liability account and allow overrides by vendor class or GL group
  • Configure purchase price variance (PPV) posting to capture differences between PO price and standard cost
  • AR posting rules define trade receivable accounts and revenue accounts by customer class or product code
  • Cash receipt posting rules map payment applications to the cash account and AR trade offset
  • GR/IR accrual accounts bridge the timing gap between inventory receipt and vendor invoice processing

Posting Rule Validation and Testing

Before going live or after any posting rule change, validation is critical. The Posting Rules Validation utility checks for missing account mappings that would cause transaction posting failures. Test each posting rule category by processing sample transactions and reviewing the resulting GL journal entries on the GL Transaction Detail form. The GL Posting Error Log captures any transactions that fail to post due to missing or invalid account mappings.

  • Run Posting Rules Validation after any account or rule change to identify missing mappings before they cause failures
  • Test inventory posting rules by processing a sample receipt, issue, and adjustment for each product code
  • Verify AP posting rules by creating a test voucher and confirming the correct GL distribution
  • Review the GL Posting Error Log regularly for transactions that failed to generate journal entries
  • Document all posting rules in a matrix showing transaction type, debit account, and credit account for audit reference
