Date Code and Lot Traceability in Cetec ERP
Cetec ERP date code lot traceability
Also searched as
- Cetec ERP trace a part to customer shipment
- Cetec ERP lot number tracking electronics
- Cetec ERP date code on receiving
- electronics distributor ERP date code tracking
Short answer
Traceability in an electronics shop only works if the date code or lot is captured when the part is received, carried through every build and move, and recorded again at shipment. A trace then runs forward from a supplier lot to every customer, or backward from a shipped unit to its component lots.
Applies to: Cetec ERP for electronics manufacturers and distributors; exact screen names depend on your configuration and release, so confirm with your administrator
How to set up and run traceability
- 1Decide which parts need lot or date code control. Apply it deliberately to controlled, moisture sensitive, shelf-life or customer-mandated parts, not to every resistor.
- 2Configure the part records so the lot or date code is required at receiving; enforce it so a receipt cannot be completed with the field blank.
- 3Train receiving to enter the date code exactly as printed on the reel or tray label, and to split receipts when one shipment holds several date codes.
- 4Keep each lot as its own inventory record through put-away and any location moves, and avoid combining lots in a bin without a recorded reason.
- 5Record which lots are issued to each build or work order, so the finished assembly links back to the consumed components.
- 6Capture the lot or serial of the finished goods at shipment against the sales order.
- 7Test the system with a mock recall: pick one supplier lot and trace forward to every shipped customer within a set time.
- 8Document the procedure and the results, since customers and auditors may ask for the evidence of how you perform a trace.
What a complete trace chain looks like
A usable trace has four links: the supplier receipt with its lot or date code, the stock record that keeps the code attached, the issue to a work order that consumed it, and the shipment that delivered the finished assembly. Break any link and the trace stops with a guess. Most failures happen at the second and third link, when stock is moved or issued in bulk without selecting a specific lot.
Forward trace answers which customers received product containing a suspect supplier lot. Backward trace answers which component lots went into a unit that failed in the field. You need both, and they use the same chain read in opposite directions.
Receiving is where traceability is won or lost
Date codes are usually typed from a printed label by a person under time pressure. Standardise the format, such as four digits for year and week, and decide how to record codes that arrive in a different format. A consistent format makes searching and reporting dependable, while free text makes the same lot appear under five spellings.
Mixed date codes in one carton are common with distributors. Receive each code as a separate line with its quantity rather than one line with the first code you see. This costs a minute at the dock and saves hours during a recall.
Keeping codes through builds, kitting and returns
Kitting is the weak point. If a kit pulls from two lots of the same part and the operator does not record which lot went where, the system can only say the build used one of the two. When your customers require exact traceability, require lot selection on issue instead of letting the system pick automatically.
Returns and rework need the same care. A returned assembly should be traced back by its recorded lots, and replacement parts should be received and issued with their own codes. Parts removed from one assembly and reused on another are a particular risk and are best handled through a documented procedure.
Proving it works
Run a trace drill each quarter. Choose a real supplier lot, time how long it takes to list every affected customer and quantity, and compare the shipped total with the received total to catch leakage. The drill finds gaps while they are cheap to fix.
Be realistic about scope. Lot control is not a substitute for supplier quality, counterfeit-prevention practices or the specific requirements of your industry standards. Confirm what your customers and regulators actually require before deciding how far to go.
Common pitfalls
- !Making lot capture optional at receiving, so the field is blank on the parts you need it for most.
- !Receiving a mixed date code shipment as a single line under the first code visible.
- !Letting the system auto-select stock on issue when the customer requires exact lot-to-assembly records.
- !Combining lots in one bin location without recording the move.
- !Never testing a trace, then discovering the gaps only during a real recall.
How an ERP-grounded AI assistant handles this
A trace question is a chain of lookups across receipts, issues and shipments, a good fit for an assistant grounded in your Cetec data. ERPray can take a supplier lot and list the work orders and customers it reached, show the query behind each step, and flag where the chain breaks. It is read-only by default and respects existing roles.
Frequently asked questions
Should every part carry a lot or date code in the ERP?
Not usually. Control the parts that need it, such as moisture sensitive, shelf-life limited or customer-specified components. Controlling everything adds receiving effort with little benefit and encourages workarounds that weaken the data.
How do I trace forward from a supplier lot?
Start at the receipt for that lot, find the work orders it was issued to, then follow those to the shipped sales orders and customers. Any direct sale of the lot to a customer should be included as well.
What if the date code on the part is unreadable?
Record what you can verify, quarantine the stock, and document the decision according to your quality procedure. Inventing a code to complete the receipt damages the trace for that lot.
How often should we test traceability?
A quarterly drill on one real lot is a practical rhythm for many shops. Time the exercise and keep the result so you can show improvement and answer customer audit questions.
