How to Adjust Inventory in Fishbowl

Question
how to adjust inventory in fishbowl

Also searched as

  • fishbowl cycle count
  • fishbowl inventory status

  • fishbowl change inventory quantity

Short answer

In Fishbowl, the audit-friendly way to adjust inventory is a cycle count: you count a location or part, enter the real quantity and commit, and Fishbowl posts the difference. For one-off corrections you can use scrap or add inventory, and move inventory between locations. Check the inventory reports afterwards.

Applies to: Fishbowl Advanced; names and menus vary slightly by version. Accounting effect depends on your QuickBooks integration.

Adjust inventory with a cycle count

  1. 1Open the Inventory module and choose Cycle Count.
  2. 2Create a count for the location, part or tag you want to correct, or select the parts that look wrong.
  3. 3Count the stock physically and enter the quantity for each line in the count.
  4. 4Review the variance Fishbowl shows between system and counted quantity.
  5. 5Commit the count so the adjustment posts. Add a note with the reason.
  6. 6Run an inventory quantity report for those parts and confirm the on-hand now matches the count.
  7. 7If you use QuickBooks, confirm the adjustment posted or is queued, and check the accounts it hit.

Cycle count, scrap and add: which one

Cycle count adjusts to a counted truth and records the variance, which is what auditors like. Use it for routine accuracy.

Scrap removes known damaged or lost stock with a reason, and add inventory brings in stock that was never received. Both are direct transactions and should have restricted access.

Move is not an adjustment: it only changes location, with no value change.

Inventory status

Quantities in Fishbowl are shown by status such as on hand, allocated, committed or on order. A part can have stock but show little available because most is allocated to open orders.

Before adjusting, check whether the quantity is actually missing or just committed. Adjusting a number that was never wrong creates a false variance and a false cost entry.

Reports to check

After adjustments run the inventory quantity report by location and the valuation report. Compare totals with your last accounting value.

For ongoing accuracy, review adjustment history by user and reason weekly so patterns such as a repeated shrink point show up.

Common pitfalls

  • !Adjusting without counting, just typing a number.
  • !Confusing allocated stock with missing stock.
  • !Giving everyone scrap and add access.
  • !Counting while shipping continues and not freezing the location.
  • !Skipping a reason code on adjustments.
