How to build a profit and loss report in Sage X3

Question
sage x3 profit and loss report

Also searched as

  • sage x3 income statement
  • sage x3 financial statements
  • sage x3 p&l by analytical dimension

Short answer

A Sage X3 P&L is built from the chart of accounts: income and expense accounts grouped into report lines by a financial report definition, filtered by company, ledger and period. Verify it against the trial balance, then add analytical dimensions if you need P&L by department or project.

Applies to: Sage X3 V7 and later. Report tooling and menu names vary by version and legislation.

Building the report

  1. 1Confirm the chart of accounts has income and expense accounts correctly classified and mapped to the right collective or group codes.
  2. 2Define the report layout: rows (revenue, cost of sales, gross profit, expenses, net result) each referencing account ranges or groups.
  3. 3Choose the company or consolidation scope, the ledger, the fiscal year and the period range.
  4. 4Run the report and compare each total against the trial balance for the same filters.
  5. 5Add comparison columns such as prior year or budget if required.
  6. 6Add analytical dimensions to report by cost centre, business unit or project, and test the totals still tie.

Why it must tie to the trial balance

The P&L is a presentation of balances already in the ledger. If it does not agree with the trial balance for the same company, ledger and period, the usual cause is an account missing from the layout, a filter on posting status, or journals in a different ledger.

Account structure choices

Ranges are easy to build but break when new accounts are created outside the range. Account groups are more robust, as long as someone owns the grouping when accounts are added.

Analytical reporting

If departmental P&L matters, make sure the dimensions are mandatory on the expense accounts that need them. Reporting is only as good as the posting discipline.

Common pitfalls

  • !New accounts left out of the layout.
  • !Mixing ledgers (for example local and group) in one report.
  • !Including unposted or provisional journals by accident.
  • !Different period filters on current and prior columns.
  • !Currency conversion mixed with local currency figures.

How an ERP-grounded AI assistant handles this

A grounded assistant can answer why revenue changed month on month by reading ledger data read-only and showing which accounts drove the movement. Netray can run this privately on-prem, so financial data does not leave your network.

Frequently asked questions

Where do I find the P&L in Sage X3?

Under the accounting reporting area, using financial statements or report definitions. Exact menu names depend on version and legislation, so check your folder.

Why does my P&L not match the trial balance?

Usually an account is outside the layout, a different ledger or posting status is used, or the period range differs. Align the filters first.

Can I get P&L by department?

Yes, if analytical dimensions are set up and used consistently on postings. Historical postings without dimensions cannot be split later without adjustments.

Can I export to Excel?

Yes, reports can generally be exported, and many sites also use external reporting tools against the data.

Sage X3 keeps its table definitions in a data dictionary you browse from the development area of the application. Tables are named in short uppercase codes, live in the folder's schema (often a schema named like the folder, such as SEED), and columns carry a numeric suffix like _0. PAYMENTD holds the line-level detail of payment entries, paired with a header table.

Division by 0 Error in Sage X3: Find the Cause and Fix It

A division by 0 error in Sage X3 means a calculation divided by a field that was zero or empty at runtime. Typical sources are a zero unit-of-measure coefficient, a zero quantity or base quantity on a BOM or routing, a zero price or rate, or custom 4GL or report code that never guards the denominator. Find the script and line from the error, then fix the data or guard the calculation.

Sage X3 Error: Due Date Is Being Paid, and How to Clear It

This Sage X3 message means the due date (the open item on a supplier or customer invoice) is already attached to another payment, payment proposal or lock that has not finished, so a second payment cannot take it. Find the unposted payment, proposal or user session holding the due date, post or delete it, then retry. Exact wording varies by X3 version and folder, so match the mechanism rather than the text.
