SyteLine AR and Credit Management Configuration Guide

Effective accounts receivable and credit management in SyteLine protects cash flow and minimizes bad debt exposure. From setting customer credit limits and defining payment terms to automating dunning letters and managing collections, SyteLine provides the tools to control the order-to-cash financial cycle. This guide covers the configuration of AR parameters, credit policies, and collection workflows.

Customer Credit Configuration

Credit management begins on the Customers form (SLCustomers IDO) where credit limits and payment terms are set per customer. The credit_limit field establishes the maximum outstanding balance, while the credit_hold flag can freeze order processing when limits are exceeded. SyteLine's credit checking runs during customer order entry on the CO Entry form, comparing the new order value plus open AR balance against the credit limit.

  • Set credit_limit on each customer record based on credit assessment and historical payment behavior
  • Configure credit_hold to automatically block CO processing when customers exceed their credit limit
  • Enable credit checking in CO Parameters to validate credit at order entry, shipment, or both checkpoints
  • Define payment terms on the Terms form (SLTerms IDO) with due days, discount percent, and discount days

AR Invoicing and Aging Analysis

AR invoices generate automatically from customer order shipment confirmations. The SLInvoices IDO creates invoice records that post to the AR trade receivable account. The AR Aging Report segments outstanding receivables into current, 30-day, 60-day, 90-day, and over-90-day buckets based on invoice due dates. Aging analysis drives collection priorities and bad debt reserve calculations.

  • Invoice generation triggers automatically at ship confirmation, creating AR entries from CO shipment data
  • Configure aging buckets in AR Parameters to match your organization's collection timeline (30/60/90/120 days)
  • Run the AR Aging Report by customer, salesperson, or territory to identify concentration risk

Collections and Dunning Automation

SyteLine's collections workflow automates customer communication for overdue invoices. Dunning letters are configured on the Dunning Letter form with escalating message severity based on aging tier. The Generate Dunning Letters utility produces letters for customers with invoices in each aging bucket. Cash receipt processing on the Cash Receipts form (SLARPayments IDO) applies payments to invoices and updates the AR balance.

  • Configure dunning letter templates with escalating tone: reminder at 30 days, warning at 60, final notice at 90
  • Run Generate Dunning Letters periodically to produce correspondence for all customers with overdue balances
  • Process cash receipts on the Cash Receipts form, applying payments to specific invoices or using auto-apply logic
