Acumatica License Cost Calculator

Acumatica is sold by consumption of resources rather than by named user, which makes quotes hard to compare with per-user ERPs. This calculator takes the figures from your proposal and shows the multi-year cost, so you can compare it with other options on equal terms.

This is a planning model, not a quote. Acumatica licensing is quoted by your reseller and depends on modules and resource usage. Enter figures from your own proposal and confirm terms, renewal caps and hosting charges directly.

How to use the calculator

Enter the annual subscription from your reseller quote, the annual increase allowed by the contract and the number of years you want to compare. Then add implementation hours at the partner rate, training, annual integration or add-on fees and the internal time your own people will spend. The primary results show total cost over the period and the average cost per year. Run the same inputs for each competing ERP and compare the totals.

The formula

Subscription over the period is the sum of a growing series: the first year price times (growth to the power of years, minus one) divided by (growth minus one), where growth is one plus the annual increase. With no increase it is simply annual price times years. Implementation is hours times rate. Integrations repeat each year. Internal time is hours times a loaded cost. The total adds these together.

  • Subscription: compounding annual increase
  • Implementation: hours times partner rate
  • Integrations: annual fee times years
  • Internal time: often forgotten, often large

Reading the result and common mistakes

If subscription is a small share of the total, the implementation and internal effort drive your decision, so scrutinize the statement of work. If it is a large share, negotiate renewal caps and review the resource tier you are paying for. Common mistakes are comparing a year-one quote with another vendor's five-year number, ignoring internal time, and omitting integrations, data conversion and report development that you will need.

Frequently Asked Questions

How is Acumatica priced?

Acumatica is generally licensed on resource consumption with a subscription or perpetual option, rather than per named user. The price depends on the modules and the size of the resource tier you buy. Your reseller provides the actual quote.

Does the calculator include hosting?

Not separately. If you host in your own environment or pay a hosting partner, add that cost to the annual integrations and add-ons input so it repeats each year of the comparison.

What implementation hours are realistic?

It depends on scope. A small distribution company may need a few hundred hours, while a manufacturer with BOMs, routings, integrations and data conversion may need well over a thousand. Ask partners for a breakdown by phase.

Why include internal staff time?

Your team must supply requirements, clean data, test and train users. That effort is a real cost, often hundreds of hours, and leaving it out makes cheaper-looking options seem better than they are.
