Component Cross Reference and Alternate Part Approval Worksheet
Second sources protect you from shortages and allocation, but only if they are approved before the crisis. This worksheet keeps the candidate list, the approval status and the money in one table that can be exported and shared.
| Original MPN | Alternate MPN | Alternate manufacturer | Form fit function | Approval status | Original price | Alternate price | Saving per unit | Saving | Annual quantity (pcs) | Annual benefit | |
|---|---|---|---|---|---|---|---|---|---|---|---|
$0 | 25% | $7,200 | |||||||||
-$0 | -31.8% | -$10,500 | |||||||||
-$0 | -16.7% | -$900 | |||||||||
$0 | 28.6% | $4,800 |
Negative savings mean the alternate costs more, which can still be justified for supply security. Approval status here does not replace your formal change control: record the approved alternate in your ERP item or approved manufacturer list and update the BOM under ECN.
Find single-source BOM lines
Optional: see how single-source risk can be flagged from your ERP BOMs.
Optional. The tool and every export work without this. No spam.
How to use the worksheet
List the original part and each candidate alternate. Classify the form, fit and function match, then track the status through proposal, evaluation and approval. Enter both prices and the annual quantity so the sheet shows the saving per unit and the yearly benefit. Sort by status to see what engineering still needs to evaluate, or by annual benefit to prioritise the evaluations that pay back the most. Export to Excel for reviews with purchasing and engineering.
- Use manufacturer part numbers, not distributor numbers
- Record reason for rejection in your own notes column
- Negative savings are valid if supply security is the goal
- Review the list every quarter against shortage data
What form, fit and function means for components
Form is the physical package and footprint, fit is how it mounts and interfaces on the board, function is the electrical behavior over the operating range. Two parts that match on the headline specification can still differ in tolerance, temperature coefficient, startup behavior or noise. Passive parts such as capacitors may differ in DC bias derating. Treat anything other than a manufacturer-declared drop-in as requiring engineering review.
Closing the loop in the ERP
An approved alternate that exists only in a spreadsheet does not help the buyer at 4pm on a shortage day. Once approved, load it into your item master as an approved manufacturer part, or into the alternate or substitute fields your ERP provides, and make sure purchase order and receiving checks accept it. Link the change to an ECN so the BOM and the history stay in sync.
Common mistakes
Common mistakes include approving an alternate for one product but not recording that other products use the original, comparing price at different quantity breaks, and forgetting that a cheaper part with a longer lead time can cost more in expedite and stockout. Customers with controlled bills of materials may also require notification before you change source.
Frequently Asked Questions
How many alternates should I qualify per part?
At least one for critical or single-source parts, especially in commodities with allocation history. For low-risk passives, an approved equivalent list is usually enough. Prioritise by risk and spend.
Is a drop-in equivalent safe to use without testing?
Not always. Manufacturer cross references are a good start but may be based on headline specifications. Test or review the datasheet differences for anything on a safety, timing or analog critical path.
Do alternates need customer approval?
It depends on your contract and industry. Aerospace, defense and medical customers often require notice or approval for component changes. Check your quality agreement before changing the source.
Can I import this into my ERP?
Export to Excel or CSV and map the columns to your ERP's approved manufacturer or alternate item import. Always load into a test company first and check unit of measure and packaging.
Netray can help surface alternates already stored in your ERP and flag BOM lines with only a single approved source, for your engineers to review.
