Automate RFQ drafts from shortages

Optional: see how ERP shortage data can prefill this request for buyer review.

Optional. The tool and every export work without this. No spam.

How to use it

Fill in your company, the RFQ number and the response deadline. Choose the sourcing channel that your customer or quality agreement allows, then add the parts in the table. Export to PDF or Word and send it, or paste the text into email. Use the same RFQ number in every reply so quotes can be matched to the request in your ERP. Keep one RFQ per commodity group or project, otherwise suppliers answer part of it and the rest gets lost.

  • Give quantities as a range when you are unsure of the buy size
  • Ask for stock and factory lead time separately
  • State the sourcing channel up front to avoid broker quotes
  • Set a deadline of two to five working days

What a good quote contains

Ask for unit price at several quantity breaks, the minimum order quantity and standard pack, because buying to the pack often changes the effective price. Ask whether the price is for stock on hand or for factory order, since the lead time and cancellation rights differ. Request country of origin and compliance statements at quote time, not after the order, so quality can approve them before purchase.

Comparing responses

Normalise responses into one table before choosing. Compare landed cost, lead time, order flexibility and payment terms, not only unit price. A cheaper quote with non-cancellable terms and a long lead time can cost more than a higher price on stock. If you quote often, load the replies into the distributor quote comparison worksheet on this site and keep the winning quote with the purchase order for audit.

Common mistakes

Typical mistakes are listing a distributor part number instead of the manufacturer part number, forgetting the required date code window, not saying whether partial shipments are acceptable, and leaving out the packaging requirement. Moisture sensitive parts should be quoted in dry pack with humidity indicator card and the floor life stated on the label.

Frequently Asked Questions

Should I send the same RFQ to every distributor?

Yes for comparability, but limit it to suppliers who stock or are authorized for those manufacturers. Sending a broad list creates noise and may expose your demand. Two to four relevant suppliers per commodity is typical.

Do I need to name the manufacturer on each line?

Yes. Many part numbers are reused across manufacturers or are similar. Quote on manufacturer part number plus manufacturer name to avoid substitutions that your engineering team has not approved.

Can this also be used for a full BOM?

It works for short lists. For a full BOM, attach the spreadsheet and keep the table here as a summary. Many distributors accept a BOM upload and return quotes in their own format.

How long should a quote be valid?

Ask for 14 to 30 days for stock and longer for scheduled factory orders. Component prices move with allocation and lead time, so a very long validity request may be declined or priced in.

If RFQs are built from shortages in your ERP, Netray can help create the request lists automatically, with the buyer reviewing every one before it goes out.
