D365 F&SCM procurement
AI for Dynamics 365 Finance and Supply Chain Procurement
Short answer
AI for Dynamics 365 F&SCM procurement reads purchase orders, product receipts, vendor invoices and vendor records through OData data entities or Synapse Link exports, then answers buyer and AP questions in plain English. It explains late deliveries, price variance and three-way match failures, with changes drafted for approval in the application.

Procurement in Dynamics 365 Finance and Supply Chain Management is a well-built process with a lot of moving parts. Requisitions flow through purchasing policies and workflow, orders go to vendors, product receipts and vendor invoices are matched, and approved vendor lists and trade agreements control who supplies what at what price.
The users still ask questions the standard forms answer slowly. Which confirmed delivery dates slipped this week on parts that feed released production orders? Why is this invoice on a price variance hold? Which vendors are priced above their trade agreement? Each answer means a trip through several forms or a data entity export to Excel.
Microsoft has built Copilot features into Dynamics 365, and those should be your first test for in-application tasks. A separate private layer fits when you need models on infrastructure you own, when the questions join D365 with MES, PLM or another ERP, or when your compliance posture rules out sending procurement data to a shared AI service.
This page explains the data paths (OData, Dataverse, Synapse Link), the use cases that tend to be worth building, and constraints such as service protection limits and the fact that approvals must remain in D365 workflow.
What usually gets in the way
The problems we hear most from procurement manager teams running Dynamics 365 Finance and Supply Chain Management.
Delivery slippage is found late
Confirmed dates change by email or portal. Unless buyers review every PO line, a slipped delivery becomes visible only when production or a customer order is already short.
Match failures cost AP and buyer time
Vendor invoices that fail price, quantity or receipt matching are sent back and forth. The cause is rarely stated clearly on the invoice journal.
Trade agreements drift from reality
Prices on purchase lines depart from trade agreements through manual overrides or expired agreements. Leakage is invisible without joining agreement lines to PO lines.
Data access is awkward for analysts
Standard OData export is limited by service protection throttling, and direct SQL on production is not available in the cloud. Analysts wait for report changes.
Vendor master quality is uneven
Duplicate vendor accounts, missing payment terms and inconsistent vendor groups affect payments and spend analysis, and cleanup is repeatedly deferred.
Where AI earns its place in Dynamics 365 Finance and Supply Chain Management
Each use case names the ERP objects it reads or writes, so your ERP team can judge the integration effort before anyone commits budget.
Delivery risk board
Ranks open purchase lines by the production orders and sales orders they support, using confirmed dates, receipt history and vendor reliability, giving each buyer a daily call list.
Touches: PurchTable and PurchLine data entities, product receipt journals, production order BOM lines
Outcome: Buyers see the few lines that threaten supply; the ranking criteria are inspectable.
Invoice match explainer
For a vendor invoice on hold, shows PO price, receipt quantity, invoice amount and tolerance, states the likely cause, and drafts a note to the vendor or buyer.
Touches: Vendor invoice header and lines, product receipts, purchase order lines, match policies
Outcome: Holds are resolved faster because the cause is clear. Posting stays in D365.
Trade agreement leakage
Compares purchase line prices with the applicable trade agreement and flags overrides, expired agreements or missing discounts.
Touches: Price/discount agreement journals, purchase lines, vendor groups
Outcome: A reviewable list of price exceptions for category managers.
Requisition assistance
Reads free-text requisition lines, suggests procurement category, approved vendor and existing agreements, and warns of likely duplicates for a buyer to confirm.
Touches: Purchase requisitions, procurement categories, approved vendor lists
Outcome: Less manual re-categorization and fewer off-contract purchases.
Vendor scorecard briefing
Prepares an evidence-based summary of delivery, quality notes and price movement before a vendor review, from D365 data and uploaded supplier documents.
Touches: Vendor, receipts, vendor evaluation data, quality orders
Outcome: Review meetings start from sourced data rather than spreadsheets.
Vendor master clean-up
Detects probable duplicate vendors and incomplete records and presents a merge or fix list for the master data team.
Touches: VendTable via VendorsV2 entity, vendor bank accounts, contacts
Outcome: A prioritized clean-up queue; changes are made in D365 under master data governance.
Spend and savings Q&A
Answers questions about spend by category, vendor concentration or price change over time, with the query and data freshness shown.
Touches: Purchase lines, vendor invoices, categories, Synapse Link tables
Outcome: Self-service analysis for sourcing teams without waiting for a new report.
Reference architecture
Data is exported from D365 into a store you control using Synapse Link for Dataverse or Export to Data Lake where available, with OData data entities for targeted reads. The assistant queries that store and runs open-weight models on your own infrastructure. Writes use D365 data entities or business events only after approval.
- 1
Extraction
Synapse Link or data lake export for volume tables; OData for fresh, targeted reads; business events to trigger refresh on receipts and invoice postings.
- 2
Governed store
A lake or warehouse in your tenancy carrying legal entity filters that mirror D365 security.
- 3
Semantic layer
Definitions for open line, confirmed date, match tolerance and procurement category, aligned to your policies.
- 4
Model serving
Open-weight models on vLLM or Ollama in your environment, with retrieval over contracts and vendor documents.
- 5
Action and audit
Drafts and entity calls routed to an approver; D365 workflow remains authoritative; every question logged.
Integration notes for your ERP team
- Authenticate with a Microsoft Entra ID app registration mapped to a D365 service user with least privilege.
- Service protection limits throttle OData calls; use Synapse Link or data lake export for volume and OData for point reads.
- Data entities such as PurchaseOrderHeadersV2, PurchaseOrderLinesV2 and VendorsV2 are the supported read path; check the entity set exposed in your version.
- Business events can notify your pipeline of product receipts or invoice postings to keep the store fresh.
- Legal entity (company) context is essential in every query; make it a required filter.
- Writes should use data entities or custom services called after approval, never direct SQL.
Deployment options
Private tenancy beside D365
Most cloud D365 customers
Export store and model servers in your Azure subscription or another private cloud, in the same region as the D365 environment.
On-prem models with cloud D365
Aerospace and defense buyers with controlled documents
Data export to an on-prem store over private connectivity, with models on your own GPUs and no external model API.
Local business data with on-prem deployments
Customers running D365 F&SCM on-premises (local business data)
Read access to the AOS database copy or the supported data exports, with models running in your data center.
Compliance and data control
How the architecture supports your obligations. Certification and accountability stay with your organisation; the design keeps the evidence straightforward.
SOX and purchasing controls
Approvals, three-way match and posting stay in D365 with their audit trail. The assistant is read-only by default and logs questions.
Export control (ITAR, EAR)
Controlled technical documents attached to POs or agreements can be kept in an environment you control and restricted by role. The compliance determination is yours.
Supplier requirements (flow-downs such as AS9100 or customer quality clauses)
The assistant can flag vendors missing approvals or certificates in your records, with sources shown.
Data protection
Vendor contact and bank details are excluded unless a use case needs them, and held under your retention rules.

Frequently asked questions
How does AI connect to Dynamics 365 procurement data?
Through supported paths: Synapse Link for Dataverse or data lake export for volume, OData data entities for targeted reads, and business events to refresh on key postings. There is no direct SQL access in the cloud. Data lands in a store you control, filtered by legal entity, and the assistant queries that store.
Is Copilot in Dynamics 365 enough?
For tasks inside D365 screens it may be. Test it on your real procurement questions. A private layer fits when you need models in your own environment, questions that join D365 with MES, PLM or another ERP, or a single assistant across several systems. Many teams use both for different jobs.
Can it create or change purchase orders?
Not by default. The first release is read-only. If you add actions, they should use data entities or custom services after a named approver confirms, with audit records, and D365 workflow stays in charge of approvals. Drafting a requisition line is lower risk than changing a confirmed order.
How does it help with three-way match?
It compares the PO line, product receipt and vendor invoice, states which side is out of tolerance, and drafts a message to the buyer or vendor. It does not override the match policy. Accuracy depends on receipts being posted promptly, which is itself a common root cause.
Does it work with D365 running on-premises?
Yes, with local business data deployments the approach changes: you read from supported exports or a database copy inside your data center, and models run on your own GPUs. Check version and support position for direct database access with Microsoft before agreeing a design.
What about Business Central?
Business Central has a different data model and API set, so it has its own page. This one covers Finance and Supply Chain Management. If you run both, the semantic layer can cover each, and the assistant can answer across them with entity context.
How long does a pilot take?
Typically four to six weeks after access is approved, covering the export pipeline, the semantic layer and an evaluation set. The slowest parts are normally security reviews and agreeing the legal entity scope rather than model setup.
