How to Cancel a Usage Decision in SAP QM

Question
how to cancel usage decision in sap qm

Also searched as

  • reverse usage decision sap qm
  • qa12 change usage decision
  • undo usage decision inspection lot sap

Short answer

SAP QM does not delete a usage decision, you change or reset it. Open QA12 (Change Usage Decision) for the inspection lot, and use the reset or change function if your release and authorization allow it. Stock already posted by the original decision is adjusted by the system, but only if the stock is still where the posting put it.

Applies to: SAP ECC 6.0 and S/4HANA QM; available functions depend on release, authorizations and configuration

Reverse or change a usage decision

  1. 1Confirm the lot is the right one in QA03 and note its status, stock posting and any follow-up actions already triggered.
  2. 2Check you hold the authorization to change usage decisions. Without it QA12 will be display only.
  3. 3Run QA12 for the inspection lot. The screen shows the existing usage decision, code and stock posting.
  4. 4Use the available reset or cancel function, or change the code and quality score to the correct decision, depending on what your release offers.
  5. 5If a stock posting was made, review the proposed stock reposting. The system reposts the quantity difference between the old and new decision.
  6. 6Save. Check the material document list and the lot stock overview to confirm the stock moved as expected.
  7. 7If the system refuses, resolve the blocking cause first, then repeat.

Change versus cancel

In practice, correcting a decision means opening it in QA12 and either changing the code or resetting its status so the lot becomes open for a new decision. The decision is a business document, so SAP keeps a history rather than erasing it.

What you can do depends on release, configuration and authorizations, so test it in a sandbox before promising users a specific button. The principle is the same: you reverse the effect, you do not delete the past.

Stock effects

The original usage decision posts stock from quality inspection to unrestricted, blocked, scrap or another destination. Changing the decision posts the opposite movements for the difference. If you accepted 100 and now reject, the system tries to move the stock back through quality inspection or to the new destination.

This only works if the stock is still there. If the 100 units were already issued to production or shipped, the reposting fails or leaves a negative. Handle those cases with a normal inventory process and a quality notification.

What blocks the change

Common blocks are missing authorization, a lot with the status for a closed usage decision with subsequent documents, stock already consumed, batch status or classification already changed by the first decision, and follow-up actions that cannot be reversed automatically.

Read the message text in QA12. It usually names the object. If it points to a stock posting, check the material document; if to a batch, check its classification and status. Involve inventory control before forcing any manual correction.

Common pitfalls

  • !Trying to delete the decision instead of changing it.
  • !Changing the decision after the goods were consumed or shipped.
  • !Forgetting that batch status or class values were updated by the first decision.
  • !Not recording why, which makes audits difficult.
  • !Testing only in the development client with simple data.

How an ERP-grounded AI assistant handles this

A private AI layer can read the lot, usage decision history and material documents for a lot and explain in plain language why QA12 refuses to change it, including what stock moved after the decision. The correction itself is still made by an authorised user in SAP.

Frequently asked questions

Can I delete a usage decision in SAP?

Not in the sense of erasing it. You reverse its effect with QA12 by changing or resetting it, and SAP keeps the history. What is possible depends on release, configuration and your authorizations.

What happens to stock when I change the decision?

The system posts the difference between the old and new decision. If stock is still where the original posting put it, the reposting works. If it has been consumed or moved, the change may fail.

Why is QA12 only showing display mode?

Most often you lack the authorization to change usage decisions, or the lot status prevents it. Check authorization objects with your security team and the lot status in QA03.

Which transaction is used?

QA12 changes the usage decision and QA11 records it for the first time. QA03 shows the lot and its status, and the material document list shows the stock postings.

SAP QA11 Usage Decision: Make It and Post Stock Correctly

The usage decision (UD) in QA11 closes an inspection lot, assigns a quality score and a UD code such as accepted or rejected, and posts the lot quantity from quality inspection stock to unrestricted use, blocked stock, scrap or return to vendor. The UD is blocked until required inspection characteristics are closed and results are recorded.

Error fix

SAP QM: Inspection Lot Not Created at Goods Receipt

An inspection lot is created only when QM is active for the plant, the material has an active inspection type for the goods movement, and the material carries a QM control key. Check the Quality Management view in MM02, confirm inspection type 01 (purchase order) or 04 (production order) is active, then check QM activation in the plant and the goods movement used.

Advanced

SAP QM Integration With EWM and WM: Steps and Configuration

With WM, the goods receipt creates an inspection lot in QM and posts stock to quality inspection; the usage decision then triggers stock postings that the warehouse moves with transfer orders. With EWM, inspections are driven by inspection rules and the Quality Inspection Engine (QIE), tied to inbound delivery documents, and the result updates stock types and putaway.

Error fix

SAP M7 021: Deficit of SL Stock Quantity

M7 021 fires during a goods issue, delivery, or confirmation when SAP checks the unrestricted-use (SL) stock for the exact plant, storage location and batch combination and finds less than what you are trying to post out. Fix the entry (batch, storage location, quantity) first; only enable negative stock or downgrade the message to a warning if the business genuinely needs to post ahead of a receipt.

Error fix

SAP IDoc Status 51: Application Document Not Posted

Status 51 tells you the IDoc reached the application layer and failed to post, but the status text itself is not the error - the real cause sits in the status record's long text or the linked application log. Fix the underlying data or configuration, then reprocess the IDoc through BD87 rather than editing the status.

Error fix

SAP Short Dump TIME_OUT: Maximum Runtime Exceeded

A TIME_OUT runtime error means a dialog (or RFC) work process ran longer than the maximum allowed runtime, controlled by profile parameter rdisp/max_wprun_time (600 seconds by default). The fix is almost always to move the long-running work to background processing or tune the underlying program, not to raise the timeout.
