How to Reverse or Cancel a Usage Decision (UD) in SAP QM

Short answer
Use QA12 (Change Usage Decision) to change a usage decision you already made in QA11. It works when the lot has not been closed by follow-on processes. If stock has already been posted or follow-up actions ran, you may have to correct the stock with a movement type instead. The authorization to change UDs is separate from the one to make them.
Applies to: SAP ECC 6.0 and SAP S/4HANA on-premise with QM inspection lot processing
Change a usage decision
- 1Run QA12 and enter the inspection lot number.
- 2Check the lot status: if the UD has been made, you will see UD in the status. Check the stock posting status and any follow-up action status.
- 3Choose the new usage decision code from the code group, or from the selected set, and save.
- 4Check what the system does with the stock posting. If the lot was posted to unrestricted use and the new decision requires a different stock type, the system may reverse the previous posting or prompt you to make a manual one.
- 5If QA12 refuses the change because the lot is closed, locked or already posted, correct the stock with MIGO using a transfer posting between the stock types.
- 6Check the inspection lot history and quality score, which are recalculated if the UD changes.
What QA12 can and cannot do
QA12 is the change transaction for the UD. It lets you replace the code, the quality score and the follow-up actions where the lot status allows it. The status of the inspection lot, whether stock posting is complete, and the authorization determine the outcome.
A UD is not a 'delete'. SAP treats it as a decision that can be changed, and changes are logged. This keeps the audit trail intact, which matters in regulated sectors.
If the inspection lot has an automatic stock posting at UD time and goods have since been consumed, you cannot move stock that is no longer there. The correction is then a business decision, not a system one.
Stock posting and follow-up actions
In the UD, the stock posting moves the inspection lot stock to unrestricted, blocked, scrap or returns. The follow-up actions might create a quality notification, trigger a recall or update the quality level. Changing the UD affects these.
When the new decision requires a different stock type, check what the system proposes. If the original posting cannot be reversed, a manual transfer in MIGO (for example from unrestricted to blocked stock, or the quality inspection transfer movements) corrects the stock.
Always check batch status and any release for delivery. If a batch is now blocked, open sales orders using it should be checked.

Authorization and audit
Changing a UD is controlled by the authorization object for usage decisions (QM_UD style authorization objects) and by whether the user may use QA12. Many companies allow QA11 to inspectors and QA12 only to quality managers.
Because UDs affect stock value and customer deliveries, keep a reason code or a note for every change. In audited industries you will be asked why a lot was flipped from accepted to rejected.
Test in a quality system with a lot at each status (UD made, stock posted, follow-up executed) to know which of your lots can be changed.

Common pitfalls
- !Assuming QA12 can always move stock back, when downstream consumption may make it impossible.
- !Changing a UD to accepted without releasing the blocked batch in the batch record.
- !Giving QA12 to inspectors who can also make the original decision, removing the second pair of eyes.
- !Ignoring a quality notification created by the original rejection.
- !Fixing stock in MIGO without recording why, which breaks the audit trail.
How an ERP-grounded AI assistant handles this
The hardest part is knowing the lot's state: UD made, stock posted, follow-up executed, batch consumed. A grounded assistant can read the lot, stock and batch tables and report 'this lot can be changed' or 'the quantity has been consumed in order 1000234' before anyone touches QA12. Netray's read-only layer on your SAP data runs on your own infrastructure, and any posting stays a human-approved SAP transaction.
Frequently asked questions
What is the tcode to change a usage decision in SAP?
QA12 changes the usage decision, QA11 records it and QA13 displays it. QA12 depends on the lot status and requires its own authorization.
Can I cancel a usage decision after stock posting?
Sometimes. If the stock has been posted and is still in the location, the change may be allowed with a corrective posting. If it has been consumed, shipped or transferred, you need a business correction rather than a UD change.
Does changing a UD affect the quality score?
Yes. The quality score and the quality level of the vendor or material are recalculated when the decision changes, which in turn can change inspection frequency under dynamic modification rules.
How do I stop users from changing UDs?
Remove the authorization for QA12 and the UD change activity from their roles and give it only to a defined quality role. Auditors usually expect separation between the people who decide and those who change the decision.

SAP QA11 Usage Decision: Make It and Post Stock Correctly
The usage decision (UD) in QA11 closes an inspection lot, assigns a quality score and a UD code such as accepted or rejected, and posts the lot quantity from quality inspection stock to unrestricted use, blocked stock, scrap or return to vendor. The UD is blocked until required inspection characteristics are closed and results are recorded.
Error fixSAP QM: Inspection Lot Not Created at Goods Receipt
An inspection lot is created only when QM is active for the plant, the material has an active inspection type for the goods movement, and the material carries a QM control key. Check the Quality Management view in MM02, confirm inspection type 01 (purchase order) or 04 (production order) is active, then check QM activation in the plant and the goods movement used.
How-toHow to Create a Selected Set in SAP QM (QS51)
A selected set is a subset of codes taken from one or more catalog code groups, so users only see the relevant choices. Create it with QS51 for a catalog type and plant, add the codes, save, and then assign it to a master inspection characteristic (QS21), the usage decision, or defect recording.
Error fixSAP M7 021: Deficit of SL Stock Quantity
M7 021 fires during a goods issue, delivery, or confirmation when SAP checks the unrestricted-use (SL) stock for the exact plant, storage location and batch combination and finds less than what you are trying to post out. Fix the entry (batch, storage location, quantity) first; only enable negative stock or downgrade the message to a warning if the business genuinely needs to post ahead of a receipt.
Error fixSAP IDoc Status 51: Application Document Not Posted
Status 51 tells you the IDoc reached the application layer and failed to post, but the status text itself is not the error - the real cause sits in the status record's long text or the linked application log. Fix the underlying data or configuration, then reprocess the IDoc through BD87 rather than editing the status.
Error fixSAP Short Dump TIME_OUT: Maximum Runtime Exceeded
A TIME_OUT runtime error means a dialog (or RFC) work process ran longer than the maximum allowed runtime, controlled by profile parameter rdisp/max_wprun_time (600 seconds by default). The fix is almost always to move the long-running work to background processing or tune the underlying program, not to raise the timeout.
