What Is Order-to-Cash (O2C)?
Also known as: O2C, OTC, order to cash process, quote to cash
Definition
Order-to-cash (O2C) is the end-to-end business process from receiving a customer order through fulfilment, invoicing and collecting payment. In ERP it spans sales, inventory, shipping, accounts receivable and the general ledger.
Order-to-Cash (O2C) Explained
O2C starts with order capture (often after a quote), then credit check, availability and promise date, picking and shipping, invoicing, cash application and collections. Each stage produces an ERP document: sales order, delivery or shipment, invoice and payment receipt. Cash is only collected when every upstream step is accurate, which is why O2C is a standard process-improvement target.
In SAP the documents chain from the sales order through delivery (VL01N) and billing (VF01) to accounts receivable. In NetSuite the flow is Sales Order, Item Fulfillment, Invoice and Customer Payment. Business Central posts shipments and invoices from the sales order, and Infor SyteLine moves from Customer Order through shipping and invoicing to AR posting. The names differ, but each step posts inventory and ledger entries.
Typical breakpoints are credit holds that stall orders, shipments that are not invoiced promptly, pricing mismatches that trigger customer disputes, and unapplied cash. Metrics worth tracking are order cycle time, on-time-in-full, invoice accuracy, days sales outstanding and dispute rate.
Quote-to-cash is a wider framing that adds quoting and contract management at the front. The back end, from invoice to collections, is where AI can help most safely: drafting dunning messages, matching remittances to invoices and summarizing disputed items for a human collector.
Why It Matters
- It determines how quickly shipped product turns into cash, which drives working capital.
- Errors at the start (price, terms, address) cause disputes and write-offs at the end.
- Cycle time and dispute metrics expose bottlenecks between sales, warehouse and finance.
- Clean O2C documents give auditors a traceable path from order to revenue.
In Practice
A 50,000 dollar order is entered Monday, passes the credit check, ships Thursday and is invoiced the next day on net 30 terms. DSO suffers if invoicing waits for a weekly batch, if the invoice carries a price differing from the customer's PO, or if the customer short-pays and the dispute is not logged. Measuring each stage shows whether delay is in shipping, billing or collections.
Frequently Asked Questions
What is the difference between order-to-cash and procure-to-pay?
Order-to-cash is the selling and collecting cycle with customers. Procure-to-pay is the buying and paying cycle with suppliers.
What are the main steps in order-to-cash?
Order entry, credit check, fulfilment and shipping, invoicing, cash application and collections.
Which metrics measure O2C performance?
Order cycle time, on-time-in-full, invoice accuracy, days sales outstanding and dispute rate.
What is quote-to-cash?
A broader view that includes quoting, contracts and pricing ahead of order-to-cash, used where deals are configured or negotiated.
Related Terms
Sales Order
A sales order is the ERP document recording a customer's commitment to buy specific items at agreed prices and dates. It reserves or creates demand for supply, triggers picking and shipping, and later drives invoicing and revenue recognition.
General Ledger
The general ledger is the central accounting record of a business, where every financial transaction posts as balanced debits and credits against accounts in the chart of accounts, producing the trial balance behind all financial statements.
Three-Way Match
A three-way match is the accounts payable control that compares the purchase order, the goods receipt, and the supplier invoice on quantity and price before releasing payment, ensuring a company pays only for what it ordered and actually received.
Return Material Authorization (RMA)
A Return Material Authorization (RMA) is a document and number issued by a supplier approving a customer's return of goods. In ERP it controls receiving, inspection, disposition, and the credit, replacement or repair that follows.
ATP (Available to Promise)
ATP (available to promise) is the portion of inventory and scheduled production not yet committed to existing customer orders, calculated by date so order entry can quote a delivery a customer can rely on.
