SPS Commerce EDI with SAP Business One

SPS Commerce Fulfillment is a managed EDI service. Suppliers use it to trade with retailers, and SPS lists an SAP certified Business One connector so EDI orders, ASNs and invoices are handled inside Business One. It suits suppliers selling into big retail programs that mandate SPS.

How SPS Commerce Fulfillment (EDI) for SAP Business One connects to SAP Business One

SAP certified Business One connector to the SPS network

SPS describes a connector that links Business One to the SPS Commerce network. Orders arrive in Business One as sales documents, and the supplier sends back acknowledgments, ASNs and invoices.

Full service mapping

SPS maps each trading partner's EDI specification to your data, so you do not build X12 maps yourself. Retailer specific rules are handled in the onboarding for each partner.

Setting it up

  1. 1Scope the trading partnersList each retailer, the documents they require and their go live deadlines. Retailer scorecards and chargebacks drive priorities.
  2. 2Engage SPS onboardingSPS assigns mapping and testing for each partner. Provide sample orders, item cross references and shipping rules.
  3. 3Install and configure the connectorSet up the Business One side with an integration user and the document series used for EDI orders.
  4. 4Build cross referencesMap retailer item numbers, UPCs and ship to location codes to Business One items and addresses.
  5. 5Design the ship flowDefine how packing and carton data (SSCC labels) is captured, because the ASN depends on it.
  6. 6Run partner certification testsComplete the retailer's test transactions before production.
  7. 7Monitor and fix dailyReview rejected orders, late ASNs and invoice mismatches every day.

What usually breaks

  • !ASNs sent after the truck arrives, or with wrong carton counts, trigger retailer chargebacks.
  • !Retailer item numbers or UPCs missing from the cross reference cause orders to fail import.
  • !Unit of measure and pack size mismatches between the retailer order and Business One cause wrong quantities.
  • !Price differences between the 850 and the Business One price list block invoicing or generate invoice disputes.
  • !Order changes (860) and cancellations arriving after picking has started are easy to miss.
  • !SSCC label content must match the ASN exactly, or the receiving site rejects the shipment.

A private AI layer across both systems

Exception triage

A private assistant reads rejected EDI orders and Business One master data and explains why each failed (missing cross reference, price mismatch, closed ship to) with a proposed fix for approval.

Chargeback prevention

Flags orders at risk of missing a ship window or ASN deadline by reading open deliveries and carrier status.

Invoice and order reconciliation

Matches EDI orders, ASNs and invoices against Business One documents and lists gaps.

Plain language partner questions

Customer service asks which retailer orders are open, late or short shipped, and gets a read only answer.

When something else fits better

  • TrueCommerce, which also offers a Business One integrated add-on with EDI.
  • A retailer's own portal with manual entry, which can be enough for one or two low volume partners.
  • A Business One EDI add-on from an SAP partner if you want software you host rather than a managed network.

Frequently asked questions

Do I need SPS if my retailer uses another EDI provider?

Not necessarily. Retailers often accept any compliant EDI route, but some programs prefer or require SPS. Check the retailer's supplier requirements before choosing a provider.

Does SPS build the EDI maps?

SPS describes full service mapping, meaning SPS handles the retailer specific mappings. You still have to supply clean item, price and shipping data from Business One.

Which documents are covered?

The SPS page lists EDI orders, ASNs and invoices in Business One. Other documents such as acknowledgments or changes depend on the partner program.

Can AI send EDI documents automatically?

It should not. A private assistant can explain failures and prepare corrections, but sending or changing EDI documents stays under normal approval and the connector's own process.
