Carta Porte Shipment Data Sheet Template

Mexican road shipments of goods generally travel with a CFDI carrying the Carta Porte complement. The complement is only as good as the data that reaches the ERP, so use this sheet to collect it before the truck leaves.

This is a data collection sheet, not the stamped complement. The Carta Porte complement is issued as part of a CFDI through your ERP or a PAC, and its version and validation rules change, so confirm fields against the current SAT guide. Sample values are fictitious.

Shipping data automation

Optional: we can scope how to feed shipment data from your ERP into the complement.

Optional. The tool and every export work without this. No spam.

How to use the sheet

Fill the fields for each shipment or paste them from your transport management data, then export the document to PDF or Word. Use it as the dispatch packet for new lanes, as the data requirement list when you configure your ERP or PAC, or as a training aid for shipping clerks. The pre-departure table gives the clerk a last check before release.

What the complement needs

The complement describes the movement: where it starts and ends with dates, the distance, the goods with SAT product keys, units and weights, the vehicle with permit type, permit number, configuration, plate and insurance, and the people involved such as the driver and, for some cases, the owner or lessee. International movements add the entry or exit indicator and customs data.

  • Origin and destination with postal codes and times
  • Goods with SAT keys, quantity, unit and weight
  • Vehicle permit, configuration, plate and insurance
  • Driver identification and licence

Making it work in the ERP

The most reliable approach stores static data once: location master data with postal codes, a carrier master with permits and insurance, and an item master with SAT keys and weights. Shipping then only adds the plate, the driver and the quantities. Weight is the usual friction point, so make net and gross weights part of item and packaging master data rather than free-typed values.

Common mistakes

Frequent problems include mismatched weights between the complement and the packing list, expired permits or insurance, wrong SAT goods keys and missing distance. Authorities can check shipments on the road, so a shipment without a valid complement may be detained. Verify the carrier credentials before assigning loads and keep evidence of the checks.

Frequently Asked Questions

What is Carta Porte?

It is a complement to the Mexican CFDI that documents the transport of goods, including origin, destination, goods, vehicle and driver data. It is generally required when goods move on Mexican federal roads, with some exceptions set by SAT.

Who issues the Carta Porte?

It depends on who owns the goods and provides the service. A carrier issues a CFDI for the transport service, and an owner moving its own goods issues a transfer CFDI with the complement. Confirm the rule for your case with a tax advisor.

Does this template stamp the complement?

No. It collects the data and creates a dispatch document. The stamped complement comes from your ERP or a PAC after validation against SAT catalogs.

Why do the weights matter?

Authorities compare the declared weight with the real load. Differences between the complement, packing list and actual load can cause fines or detention, so base declared weights on controlled master data.

If your shipping data lives in the ERP but the complement is assembled by hand, we can help automate data collection and validation before stamping.
