Cloud MRP Implementation Project Plan Worksheet

Cloud MRP subscription prices look small, but the project cost is mostly your own people's time plus a consultant. This worksheet lists tasks, owners, effort and rate, then totals the cost and adds contingency so you can plan the rollout honestly.

Add rows for each integration, report and extra site. Include internal staff time at a loaded hourly rate, because staff time is usually the largest hidden cost.

Project plan review

We can check your plan for missing data tasks and hidden effort. Optional.

How to use the worksheet

Edit the sample rows. Keep one row per deliverable rather than per day, and assign a single named owner to each. Enter effort in hours and an hourly rate that includes payroll burden for internal staff. The cost column multiplies hours by rate automatically, and totals plus a blended rate appear below. Export to Excel to share with the vendor or consultant and agree who does what.

  • One owner per task
  • Internal time at loaded rates
  • Separate rows for each integration
  • Review weekly during the project

Typical phases for a small plant

Plan, data, configure, train, test, cutover and hypercare form a repeatable sequence. Data usually takes the longest: cleaning item masters, BOM quantities, units of measure and routing times. Configuration of warehouses, work centers and number series is quick by comparison. Testing should include at least two real jobs run in parallel with your old process.

Reading the totals

Compare total labor cost to the vendor's quoted implementation fee. In many small projects, internal labor equals or exceeds the vendor fee. The contingency line at 20 percent is a planning allowance, not a prediction. If total hours exceed what your staff can give while doing their normal job, extend the timeline rather than cutting testing.

Common mistakes

Assuming the project lead can do the job at 10 percent of their time, skipping hypercare, and not budgeting for BOM cleanup. Another frequent error is going live in the middle of a busy shipping month. Pick a cutover date after a physical inventory count and outside peak delivery weeks.

Frequently Asked Questions

How long does a cloud MRP implementation take for a small manufacturer?

Commonly three to six months for a plant with a few hundred to a few thousand parts, depending on BOM quality and how many integrations are needed. Data cleanup is usually the longest item.

What hourly rate should I use for internal staff?

Use salary plus payroll burden divided by productive hours, often 1.25 to 1.4 times base pay. The point is to show the real cost, so be consistent across tasks.

Do I need a consultant?

Not always. Smaller plants with clean data sometimes self-implement with vendor support. A consultant helps most with routings, MRP settings and data migration.

Can I use this for Odoo or ERPNext projects?

Yes. The phases are system independent. Add rows for custom fields, reports or modules that those platforms often require.

Netray can review your plan, estimate data migration effort from an ERP or spreadsheet extract, and highlight risk tasks.
