3. About Acme Precision Components Ltd
Industry: Discrete manufacturing Locations: 3 plants (Ohio, Texas, Monterrey Mexico) and 1 distribution center User base: 220 full users, 400 light or shop-floor users Current system: Legacy on-premises ERP, 18 years old, heavily customized Target go-live: Phased: pilot plant Q4 2027, remaining sites by Q2 2028
We are replacing our current system because it limits our ability to plan, trace and report across sites. Vendors should describe how their proposal addresses the business context above, not only the feature lists below.
4. Functional scope
Finance, purchasing, inventory, production planning (MRP/APS), shop floor execution, quality (NCR/CAPA), sales order management, service and warranty, reporting.
For each area, state whether the requirement is met by standard configuration, an extension or add-on, a third-party product, or custom development. Use the requirements workbook supplied with this RFP and do not alter its structure.
5. Technical and integration requirements
Preferred deployment: Open to proposals.
Systems and interfaces in scope: PLM (Windchill), CRM (Salesforce), EDI with 40 trading partners (X12 850/855/856/810), WMS at the distribution center, payroll, banking.
Describe your integration approach (APIs, event or message bus, EDI, file), supported authentication, data migration tooling, environment strategy (development, test, production), upgrade cadence and how customizations survive upgrades.
6. Security, compliance and data requirements
ISO 9001 and AS9100 traceability, ITAR-controlled data segregation, SOX controls, SSO with our identity provider, audit trail on master data.
Provide your current independent assurance reports where available, data residency options, encryption at rest and in transit, backup and recovery objectives (RPO and RTO), and your incident notification commitments.
7. Vendor response requirements
| Section | What to include |
|---|---|
| A. Executive summary | Understanding of our needs and proposed solution in two pages or fewer |
| B. Requirements response | Completed workbook with a fit code per line |
| C. Solution and architecture | Modules, deployment model, integration design |
| D. Implementation approach | Methodology, phases, team, our staffing expectations |
| E. Commercials | Pricing in the format in section 8 |
| F. References | Three customers of similar size, industry and scope |
| G. Exceptions | Any deviation from this RFP or draft terms |
8. Pricing format
Provide a five-year cost view with separate lines for subscription or license, annual support or maintenance, implementation services (fixed price or capped time and materials), data migration, integrations, training, third-party products, and environments. State the annual price escalator and any caps, the unit rate card by role, and which items are assumptions. Costs not stated are treated as included.
9. Evaluation criteria
| Criterion | Weight |
|---|---|
| Functional fit to scripted scenarios | 30 percent |
| Technical architecture and integration | 15 percent |
| Implementation approach and team | 15 percent |
| Five-year total cost | 20 percent |
| Vendor viability and references | 10 percent |
| Security and compliance | 10 percent |
10. Acknowledgement
This template is a starting point, not legal advice. Have procurement and legal review the confidentiality, exception and award language before issuing. Replace the evaluation weights with the ones your steering committee has agreed.

How to use the template
Start with the fields at the top. The company, sites, user count and current system sections set the context vendors price against, so be honest about scale and customization. Choose a deployment preference or leave it open if you want vendors to propose options. Export to Word, then attach your requirements workbook as an appendix. The timeline block feeds from the dates you enter, so set the response and decision dates realistically before you send it out.
- Enter real user counts split between full and light users
- List integrations you must keep, not every system you own
- Agree the evaluation weights before the RFP goes out
- Attach a requirements workbook with fit codes
What a good ERP RFP contains
Most weak RFPs are either a three-page letter or a 600-question spreadsheet nobody can score. The balanced version has a short narrative on your business, a requirements workbook prioritized as must, should and could, scripted scenarios for the demo stage, a standard pricing grid and a stated scoring method. Vendors respond better when they know how they will be judged, which is why the template prints the weights in the document itself.
Pricing format and comparing bids
The most common reason bids cannot be compared is pricing. One vendor quotes subscription only, another bundles implementation, a third excludes integrations. Section 8 forces a five-year view with separate lines for each cost type and asks for the annual escalator and caps. Pair the responses with the ERP selection scorecard and a total cost view so the commercial score reflects the full term, not just year one.
Common mistakes
Do not copy a generic RFP that asks about modules you will never use. Do not issue before internal stakeholders agree the scope, because vendors will price the ambiguity at the high end. Do not ask for custom development to fit every process; ask for the standard path first. And do not skip the Q and A window: the questions vendors send are an early test of how they will behave during delivery.
- Scope creep hidden in vague requirement wording
- No stated budget range, which invites padding or mismatched bids
- Evaluation criteria that change after responses arrive
Frequently Asked Questions
How long should an ERP RFP be?
The narrative portion is usually 15 to 25 pages, plus a requirements workbook. Longer documents tend to produce generic answers. Prioritize requirements as must, should and could, and use scripted demos to test the processes that matter most rather than trying to cover everything on paper.
Should I include my budget in the RFP?
A budget range helps vendors propose a realistic scope and discourages mismatched bids. If you prefer not to state a number, state the size indicators: users, sites, transaction volumes and go-live phases. Buyers who disclose nothing often receive wide price spreads that are hard to compare.
How many vendors should receive the RFP?
Send it to four to six vendors who passed an initial RFI or desk review, then cut to two or three for scripted demonstrations. Sending to more than eight rarely improves the outcome and increases your evaluation workload considerably.
Do I need an RFP if I already know the ERP I want?
You still need a structured scope, pricing grid and contract expectations, even for a single-vendor selection. A shorter request for proposal gives you leverage on price and terms and documents your decision for the board and auditors.
If you want this RFP assembled from your existing process documents and ERP configuration instead of from scratch, we can walk through how that works on your own infrastructure.
