ERP User License Mix Cost Calculator
Most modern ERP price lists charge different amounts for full, limited and casual users, and the mix you commit to can move the annual bill by tens of percent. This calculator helps you size the mix before the vendor does it for you, and shows what an over-licensed population costs.
Your numbers
Everyone who will log in, including approvers, requesters and read-only reporting users.
People who create and change transactions across modules daily.
Role based users, such as shop floor, warehouse or a single module.
Your results
Tier names, prices and what each tier may do are vendor specific. Confirm entitlements in the vendor's license definitions before relying on a mix.
Annual cost as the full user share changes
Sweeps Share needing full user rights from 5 to 70, holding your other inputs fixed.

How to use it
Start with a total user count, then estimate what share needs full transaction rights and what share is limited to a role or module. The rest are treated as casual or self-service users who approve, request or read. Enter the vendor's per user prices for each tier. The tool reports user counts, annual cost, blended price per user and the saving against licensing everyone as a full user.
- Count approvers and requesters, not just power users
- Use role analysis from the current system, not job titles
- Check whether tiers are named user or concurrent
The method
The tool multiplies the user count by each tier share, rounds the full and limited counts, and treats the remainder as casual. The limited share is capped so the three tiers cannot exceed one hundred percent. Annual cost is the sum of count times price for each tier. The blended price is total cost divided by users, which is the number to compare across competing vendors whose tier structures differ.
Reading the result
With 250 users, 30 percent full, 30 percent limited and 40 percent casual, the mix costs about 135,000 a year against 450,000 if everyone were full users. The chart shows how sensitive the total is to the full user share, which is usually the figure vendors push upward. If the full share doubles, you will see the bill jump by far more than the casual savings can offset.
Common mistakes
Teams often size licenses from the org chart rather than from actual transactions. Others forget that a limited user who needs one extra screen may be reclassified to full. Also check true-up terms: some vendors audit and bill the difference retroactively. Treat the mix as a living figure and review it at each renewal using real login and role data from the system.
Frequently Asked Questions
What is the difference between full and limited ERP users?
Definitions vary by vendor. Generally a full user can create and change transactions across modules, while a limited user is restricted to certain roles or screens. Always read the license definitions in the contract.
Should I license by named user or concurrent user?
Named is more common in cloud ERP and is predictable but costs more for large infrequent populations. Concurrent can be cheaper for shift based use, if the vendor offers it. Compare both on actual login data.
How do I estimate casual users?
List everyone who only approves, submits requests, views reports or clocks time. Self-service portals, expense and time entry often count here. Confirm that the vendor classifies those tasks as casual.
What happens if my mix changes after go live?
You may be able to buy more or reassign tiers at the contracted rate. Ask for the right to rebalance tiers at renewal and to keep unit prices fixed for added users.
