Business Central License Cost Calculator
Business Central is licensed per user per month, with different license types for full and light users. This calculator multiplies your user mix by the prices you enter, applies any discount and shows monthly, annual and blended per-user cost.

Your results
Default prices are placeholders, not a quote. Microsoft and reseller prices change by region, currency, agreement and add-ons. Confirm current pricing with your Microsoft partner. The result excludes implementation, extensions, storage add-ons, additional environments and support.

How to use the calculator
Count how many people need full access and how many only need limited tasks like approvals, time entry or reading. Enter the number of Essentials, Premium and Team Member users, then type the price you have been quoted for each. The default prices are placeholders to show how the maths works. Add your negotiated discount to see the net result, and use the chart to see how annual cost scales as full users are added.
Choosing license types
Essentials covers core financials, sales, purchasing, inventory and warehouse. Premium adds capabilities for service management and manufacturing, so manufacturers who need production orders, routings and capacity planning usually need Premium for the users that touch those features. Team Member licenses suit people with limited read and light-update needs. Check the current licensing guide for exactly which activities each type allows, as rules change between releases.
- Assign Premium only to users who use Premium features
- Review Team Members for activities that exceed their entitlement
- Count external accountants and auditors separately if they need access
Total cost of ownership
Subscription is only one part of cost. Add implementation services, extensions or ISV apps priced per user or per company, extra production or sandbox environments, database capacity beyond included storage, support, training and integration costs. For a fair three-year comparison with other ERP options, multiply the annual figure by your planned years and add one-off costs.
Common mistakes
Buying Premium for everyone because one department needs it inflates cost. Equally, buying only Team Member licenses for users who post transactions leads to a compliance gap. Plan for growth and seasonal staff, and check whether your agreement allows true-down at renewal.
Frequently Asked Questions
Are the default prices current Microsoft prices?
No. They are round placeholders for illustration. Prices differ by country, currency, commitment term and reseller. Replace every price with the figure in your own quote before relying on the result.
Does the result include implementation?
No. It covers subscription licensing only. Implementation, customisation, data migration, training, extensions and ongoing support are separate costs that often equal or exceed first-year licensing for a manufacturing project.
How do I count users for a shop floor?
Count named individuals who log in to Business Central. Shared accounts are not allowed. If shop floor operators only record time or consumption, a light license or a separate data collection tool may suffice. Check the current license rules for your scenario.
What does the chart show?
It sweeps the number of Essentials users from 5 to 150 while holding your other inputs fixed, and plots the annual cost. It shows the slope of your cost per added full user, which helps when sizing headcount growth.
Netray does not sell Business Central licenses. If you are comparing BC with other ERPs for a manufacturing business, ask for an independent comparison of fit and total cost.
