Sage X3 Cost Calculator: Licence, Maintenance and On-Prem Running Cost

This calculator models the multi-year cost of running Sage X3 on your own servers from the figures in your quote and contracts: licences or subscriptions, the annual support plan, database licences, hardware, partner support and periodic version update projects. It contains no Sage list prices; every price is an input.

How to use it

Enter user count and either a perpetual licence price per user with your support percentage, or an annual subscription per user, from your own quote. Add your database licence, the server cost and how often you refresh it, the partner hours you buy each year and their rate, and how often you run a version update project. Move the years slider to see how the total builds over time and compare cost per user per year with alternatives.

  • Use the currency of your quote; the symbol is cosmetic.
  • Model perpetual and subscription separately and compare.
  • Include internal staff time as partner hours if you want a fuller picture.

The formulas

Licence purchase = users x licence per user. Annual support = licence purchase x support percentage / 100. Annual running cost = annual support + users x subscription per user + database licence + partner hours x rate + server hardware / refresh years, which spreads hardware evenly over its life. Update projects = floor(years / update interval) x cost per project, so a project counts only when a full interval has passed. Total cost of ownership = licence purchase + annual running cost x years + update projects; cost per user per year = TCO / (users x years).

What drives Sage X3 cost

The main drivers are the number and type of users, the modules licensed, the support plan percentage or subscription rate, and how much partner time you need for support, changes and reports. On-premises adds database licences, servers, backups and the effort of version updates, which include Syracuse, MongoDB and runtime components as well as the application. Specific developments raise the cost of every update because they must be retested. Regional pricing differs, so always work from a local quote.

How to read a quote

Separate one-off items (licences, implementation, data migration, training) from recurring ones (support plan or subscription, hosting, partner retainers). Check what the support plan covers: access to new releases, support desk, and which components. Ask how user types are counted and whether there are minimums. Check whether the database licence is included or must be bought separately. Put each figure into this calculator and keep the export with the quote for budget approval.

Frequently Asked Questions

How much does Sage X3 cost?

Sage X3 is quoted per customer by Sage or a partner, based on user numbers and types, modules, region and whether you buy perpetual licences or subscribe. There is no single public price. Get a written quote and put its figures into this calculator to see the multi-year total.

What does Sage X3 maintenance cost each year?

For perpetual licences, the annual support plan is usually a percentage of the licence value set in your contract; use that figure. Add your partner support hours, database licences, hardware spread over its life and periodic update projects to get the real annual running cost, which is often much higher than the plan alone.

Is Sage X3 cheaper on-premises or as a subscription?

It depends on years modelled, user count and your infrastructure costs. Perpetual licences cost more up front and less per year; subscriptions spread cost evenly. Run both scenarios here with your own quotes over five to seven years and include hardware and update projects, which the on-premises option carries.

How do I price Sage X3 in South Africa or another country?

Use the local quote in its own currency. The calculator does no currency conversion, so enter every figure, including partner rates and hardware, in the same currency. Exchange rate movement matters if parts of the quote are priced in another currency, so model a range.
