Acumatica Error: Inventory Quantity Will Go Negative

Error
Acumatica Inventory quantity for item in warehouse will go negative

Also searched as

  • Acumatica allow negative quantity
  • Acumatica cannot issue stock negative inventory
  • Acumatica issue release error negative on hand
  • Acumatica IN release quantity will go negative lot

Short answer

Acumatica blocks a release when the transaction would drive on-hand below zero for a stock item that does not allow negative quantity, tracked by warehouse, location and lot or serial. Fix it by receiving or adjusting the missing stock first, correcting the wrong warehouse, location or lot on the document, or, if the business really needs it, enabling Allow Negative Quantity on the item or its warehouse setup.

Applies to: Acumatica Cloud ERP Distribution and Manufacturing editions, Issues (IN302000), Shipments (SO302000), Material transactions in production

How to resolve the negative quantity error

  1. 1Read the message: it names the inventory item, warehouse and often the location or lot. Note all three.
  2. 2Open Inventory Summary (IN401000) or Inventory Allocation Details (IN402000) for that item and warehouse and compare on-hand to the document quantity.
  3. 3Check whether the wrong warehouse, location or lot or serial number was entered on the line. Correcting the line is the most common fix.
  4. 4If stock exists physically but was never received, post the missing Receipt (IN301000) or Adjustment (IN303000) first, then release the issue.
  5. 5Check for unreleased receipts or transfers still in-transit; stock is not available until released.
  6. 6If the item should never be negative, leave the setting and fix the process or timing of receipts versus issues.
  7. 7If negative quantities are acceptable for this item, open Stock Items (IN202500) and enable Allow Negative Quantity, or adjust the item class settings, then re-release.
  8. 8For lot or serial tracked items, verify the lot has enough remaining quantity at that location, not just item total.

Why the check exists

Acumatica keeps on-hand per inventory item, warehouse, location and, for tracked items, per lot or serial. A release validates every one of these levels. An item can have plenty of stock in the warehouse overall but not in the specific location or lot on the line, which is why the message can feel wrong at first.

The check protects costing. With FIFO or average cost, an issue below zero has no cost layer to draw from, which creates variances and later corrections.

Typical causes on shop floors and in distribution

Timing is the most common: the shipment is released before the purchase receipt, or the production material issue is released before the materials were received. A discipline or workflow fix is better than allowing negative stock.

Next are tracking mismatches. A line may carry a lot number that was typed differently from the receipt, or the receipt went to a receiving location while the issue draws from a pick location. Review Allocation Details to see where the stock is.

Unit of measure conversions also cause surprises. Issuing 10 boxes against stock held in eaches without the correct conversion can ask for more base units than exist.

When to allow negative quantity

Some businesses ship before they receive in the system, such as backflushed components in assembly. In that case enable Allow Negative Quantity on the stock item, understanding that costs may be estimated and corrected later when the receipt arrives.

Use a recurring report, such as a Generic Inquiry on items with negative on hand, so these cases are cleared at period end. Do not use the setting to hide receiving delays.

Common pitfalls

  • !Turning on Allow Negative Quantity globally to silence one error and losing control of costing.
  • !Looking only at total warehouse stock and missing that the lot or location on the line has none.
  • !Issuing before the receipt is released.
  • !Ignoring unit of measure conversion between purchasing and stocking units.
  • !Forcing the release with an adjustment that creates phantom stock.

How an ERP-grounded AI assistant handles this

An AI assistant grounded in Acumatica inventory data can take the item, warehouse and lot from the message and answer where the stock actually sits, which receipts are unreleased, and what a correct line would look like, showing the query it ran. ERPray is read-only, so it points to the fix and leaves the posting to your inventory team.

Frequently asked questions

Where is Allow Negative Quantity in Acumatica?

On the Stock Items screen (IN202500), under the item's inventory and warehouse settings, and it can be defaulted from the item class. When enabled, issues can post even if on-hand would be below zero for that item.

Why does the error mention a lot number?

Lot and serial tracked items are validated at lot level. The lot on the line may have less quantity than needed, or the number may be misspelled compared with the receipt. Check Inventory Allocation Details for that lot.

Can I fix this with an adjustment?

Only if the stock genuinely exists and was not recorded. Use a receipt or adjustment for real stock, with the correct cost, and never create stock only to get past the check because it distorts inventory value.

Does the same message apply to production?

Yes. Material issues to a production order and backflush transactions run the same check, so a missing component receipt or wrong location will block them in the same way.

How to Create a Generic Inquiry in Acumatica

Generic Inquiries (GI) are Acumatica's no-code query builder for joining tables, adding filters, and exposing the result as an inquiry screen, dashboard data source, or API endpoint. Open System > Customization > Generic Inquiry, add your base table, define joins and conditions, then run and save. No SQL or customization project is required.

How to Add a Custom Field to the Sales Order Screen in Acumatica

There are two routes. For simple data capture use Attributes (Configuration > Common Settings > Attributes), assigned to a class, which show up without code. For a real database column with logic, create a DAC extension (PXCacheExtension on SOOrder) in a Customization Project, add the field to the screen layout in the Screen Editor, and publish.

Fix Odoo AccessError: You Are Not Allowed to Access Records

Odoo raises AccessError when a user's security groups do not grant a CRUD right on a model through ir.model.access.csv, or when an ir.rule record rule filters the specific record out for that user or company. Fix it by adding the user to the group named in the error, editing the model's access rights, or reviewing the record rule's domain under Settings > Technical > Security.
