Fix Genius ERP WIP Balance Not Matching the GL

Error
Genius ERP WIP balance does not match general ledger

Short answer

A WIP balance that disagrees with the general ledger is nearly always a timing or posting difference, not lost money. Reconcile by listing open jobs at one cutoff date, then check unposted transactions, jobs closed with leftover cost, and manual journal entries against the WIP account.

Applies to: Genius ERP (Genius Manufacturing) job shop and discrete manufacturing installations; confirm exact report and menu names with your administrator or reseller

How to reconcile WIP to the general ledger

  1. 1Pick one cutoff date, ideally a closed period end, and run the WIP or open job cost report as of that exact date.
  2. 2Pull the general ledger balance of the WIP account for the same date, and note the difference in total.
  3. 3Make sure all inventory, labour and purchasing transactions through the cutoff are posted to the ledger; list anything still unposted.
  4. 4List manual journal entries that touch the WIP account, since these change the ledger without changing any job.
  5. 5Check jobs closed or completed in the period for remaining cost or variance that was not relieved properly.
  6. 6Look for jobs with negative cost, caused by receipts of finished goods or credits posted against the wrong job.
  7. 7Compare materials issued to jobs against the inventory account movements to catch one-sided postings.
  8. 8Correct each difference at its source, document the reconciliation, and rerun the comparison until it ties.

Why WIP and GL drift apart

The WIP report is built from job cost records: material issues, labour and overhead charged to each open job. The ledger WIP account is built from journal postings. They match only when every job transaction posted to the ledger at the same date and nothing else touched the account. Anything that breaks that symmetry creates a difference you can trace.

The usual causes are short: transactions entered but not yet posted, a period cutoff that differs between the two reports, manual journals to WIP, jobs that were completed without relieving all cost, and corrections made in one place and not the other.

Work through the difference in order

Start with timing, because it is the cheapest to rule out. Confirm both figures use the same date, and that the report is not showing activity entered after that date. A difference that equals one day's labour posting is a cutoff problem, not a data problem.

Then examine posting status. List material issues, time entries and receipts that exist in the operational module but have no ledger posting. Finally review manual journals. A journal that debits WIP to fix another issue will make the ledger higher than the job detail forever, until it is reversed or supported by a job.

Closed jobs and variances

When a job is completed, the accumulated cost should move out of WIP to finished goods or cost of sales. If the job closed while material or labour was still being charged, a residual remains in the ledger with no open job to explain it. Review recently closed jobs with non-zero remaining cost.

Variance handling matters as well. If actual cost exceeded the amount transferred, the difference should be written to a variance account according to your policy. Decide the policy with your accountant and apply it consistently, rather than leaving residuals in WIP to age.

Reconciliation template:
WIP per job cost report at cutoff A
Ledger WIP account balance at cutoff B
Difference (B - A) C
  Unposted job transactions C1
  Manual journals to WIP C2
Closed jobs with residual cost C3
  Unexplained C4 (target: zero)

Keeping it tied going forward

Reconcile monthly rather than at year end. A one-month difference is a short list of items; a twelve-month difference is an archaeology project. Assign an owner, set the cutoff process, and require that any manual journal to WIP carries a note naming the job or reason.

Treat large recurring differences as a process signal. If receiving is always a day late, or timekeeping is posted in batches after period end, fix the process and the reconciliation gets easier on its own.

Common pitfalls

  • !Comparing the reports at different dates, or one at period end and one at today.
  • !Posting manual journals to WIP to force a tie without recording the supporting reason.
  • !Closing jobs while costs are still being posted, leaving a residual with no owner.
  • !Ignoring negative-cost jobs that quietly offset other balances.
  • !Reconciling only at year end, when the volume of differences is hardest to trace.

How an ERP-grounded AI assistant handles this

Reconciliation is a comparison task: job cost detail on one side, ledger postings on the other. An assistant grounded in your Genius data can list unposted transactions, manual journals to the WIP account and closed jobs with residual cost, and show the queries it used. It does not post corrections; your accountant approves any entry.

Frequently asked questions

Is a WIP difference a sign of missing money?

Rarely. It is normally a timing or posting difference, such as unposted transactions or a manual journal. Treat it as a reconciliation task with a list of items to find, and escalate only if a residual stays unexplained after the checks.

Which date should I use for the comparison?

Use a closed period end and run both reports as of the same date. Comparing a live report with a prior period ledger balance guarantees a difference caused only by activity since then.

Can I just adjust WIP with a journal entry?

You can, but a plug hides the cause and makes later reconciliations harder. Correct at the source where possible, and if a journal is justified, document the reason and have your accountant approve it.

How do closed jobs affect the WIP balance?

A job closed with cost still sitting in WIP leaves a ledger balance with no open job behind it. Review recently closed jobs for non-zero cost and relieve it according to your accounting policy.

How to Compare Planned vs Actual Cost in MRPeasy

MRPeasy builds a planned cost from the bill of materials, routing and rates, then records actual cost as materials are consumed and work is reported on the manufacturing order. To find a variance, compare the two on the order itself and then drill into material price, quantity used, and time booked.
