How to create suppliers in Oracle Fusion (profile, sites, banking and FBDI)

Question
how to create suppliers in oracle fusion

  • oracle fusion supplier bank account

Short answer

In Oracle Fusion Procurement, go to Suppliers > Tasks > Create Supplier, enter the supplier name and tax details, then add addresses, contacts, sites, site assignments to business units, and bank accounts on the Edit Supplier page. For many suppliers, use the Supplier Import FBDI template instead of keying them one by one.

Applies to: Oracle Fusion Cloud Procurement and Supplier Model. Menu labels and the exact FBDI template columns change between quarterly updates, so use the template version for your release.

How to create a supplier in Fusion

  1. 1Sign in with a role that can manage suppliers, open the Suppliers work area, and search first to confirm the supplier does not already exist.
  2. 2Choose Tasks > Create Supplier and enter the supplier name, tax country, and tax registration or taxpayer id as your policy requires, then click Create.
  3. 3On Edit Supplier, open Profile to set supplier type, business relationship and any classification or product and service categories.
  4. 4Add an Address on the Addresses tab and set its purposes (such as Purchasing, Payment, Remit To) as needed.
  5. 5Add Contacts if buyers or accounts payable need named people, and optionally create user accounts for supplier portal access.
  6. 6Create a Site on the Sites tab, link it to an address, and assign it to the procuring business unit with the required purposes.
  7. 7Set site attributes such as payment terms, payment method, invoice currency and the distribution account defaults.
  8. 8Add the supplier bank account under the Payments or Bank Accounts section, then submit for approval if your setup requires supplier approval.

Supplier, address, site, assignment

Fusion models a supplier in layers. The supplier is the legal party. Addresses describe locations. A site ties an address to a procurement business unit and carries the purchasing and payables defaults. Site assignments let a client business unit use the site.

A common error is stopping after the supplier is created. Without a site that is active and assigned, buyers cannot place purchase orders and payables cannot pay invoices.

Banking and approval

Bank accounts are held as payee bank accounts linked to the supplier or site. Verify the account details outside the system before saving, since changes to bank details are a known fraud vector.

If supplier registration approval is enabled, the new supplier stays inactive for purchasing until the approval workflow completes.

Bulk loading with FBDI

The Supplier Import template loads suppliers, addresses, sites, site assignments and contacts through interface tables such as POZ_SUPPLIERS_INT, POZ_SUPPLIER_ADDRESSES_INT, POZ_SUPPLIER_SITES_INT, POZ_SITE_ASSIGNMENTS_INT and POZ_SUP_CONTACTS_INT.

Download the template from the Oracle Help Center for your release, fill the sheets, generate the zip, upload it through Tools > File Import and Export, and run the import ESS jobs for suppliers, addresses, sites, assignments and contacts. Review the import rejection reports for each.

Navigator > Procurement > Suppliers > Tasks > Create Supplier
Navigator > Tools > File Import and Export (upload FBDI zip)
Navigator > Tools > Scheduled Processes > Import Suppliers

Duplicates and data quality

Check by name, tax id and bank account before creating. Duplicate suppliers split spend, hide discount opportunities and cause duplicate payments.

Agree naming conventions and mandatory fields before bulk loading, because cleaning after import is harder than cleaning the spreadsheet.

Common pitfalls

  • !Creating a supplier but no site, so purchase orders cannot be raised.
  • !Forgetting the site assignment to the business unit.
  • !Loading FBDI data with an old template version after a quarterly update.
  • !Not verifying bank details independently.
  • !Creating duplicates because the search was skipped.

How an ERP-grounded AI assistant handles this

An assistant grounded in Fusion can screen a supplier load before it runs: it compares the spreadsheet against existing suppliers by name, tax id and bank account, flags likely duplicates and lists the rows missing required site or assignment data. It reads data through reporting or REST and proposes changes, while the actual creation stays under human approval. A private model keeps supplier banking data off outside services.

Frequently asked questions

Where do I create a supplier in Oracle Fusion?

Open the Suppliers work area from the Navigator under Procurement, then choose Tasks > Create Supplier. After creation, complete addresses, sites and assignments on the Edit Supplier page.

Why can't I create a purchase order for my new supplier?

Usually the supplier has no active site assigned to the requisitioning business unit, the site lacks the Purchasing purpose, or the supplier is awaiting approval.

How do I load many suppliers at once?

Use the Supplier Import FBDI template for your release, upload the zip through File Import and Export, and run the supplier import ESS jobs. Review rejection output and correct the source rows.

Where are supplier bank accounts stored?

They are payee bank accounts in the payments setup, associated with the supplier or site. Manage them through the supplier's banking section or a bank account import.

Fix FBDI Import Failures From Interface Table Validation Errors

When a Fusion FBDI import job errors out, the cause is almost always bad data in the interface tables (an invalid value set, a wrong date format, or a missing required column), not the ESS job itself. Open the process's Interface Errors Report or the Correct Import Errors spreadsheet to see the exact rejected rows and reason codes, fix the source data, and resubmit from the interface tables instead of re-running the whole FBDI load.

Oracle Fusion Procurement: approved requisition not creating a purchase order

An approved requisition becomes a purchase order only if its lines are processable: a supplier and site can be sourced, a buyer is assigned or derived, the procurement business unit is configured as a service provider for the requisitioning unit, and the Process Requisitions job picks the lines up. Check line status and the job log in that order.

Oracle EBS Query for a Vendor Extract Report

In EBS R12 the supplier header is AP_SUPPLIERS, supplier sites are AP_SUPPLIER_SITES_ALL (org-specific, so filter by ORG_ID), contacts link through AP_SUPPLIER_CONTACTS and HZ_PARTIES, and bank accounts live in the Payments tables (IBY_EXTERNAL_PAYEES_ALL, IBY_PMT_INSTR_USES_ALL, IBY_EXT_BANK_ACCOUNTS). Join them with VENDOR_ID and the party and payee keys.

Error fix

Oracle Fusion Payables: invoice on hold or stuck at Needs Revalidation

An invoice in Fusion Payables is either Validated, Needs Revalidation, or Never Validated. Holds are placed by validation when a check fails, so the fix is to read the hold name on the Holds tab, correct the underlying data (match, price, tolerance, account, tax), and run Validate again. Manual release is possible but only for hold types your role may release.

Error fix

Clear An Oracle Fusion ESS Job Stuck In Blocked Status

A Blocked status on an Oracle Fusion Enterprise Scheduler (ESS) job almost always means an earlier instance of the exact same job is still running or stuck, and the job definition does not allow simultaneous requests. Find and finish, or cancel, the earlier request first; only then does the Blocked request move to Running.

OTBI vs BI Publisher: Which One Should You Use

Use OTBI when a business user needs ad hoc, self-service, real-time analysis with no fixed layout. Use BI Publisher when you need a pixel-perfect, scheduled, high-volume, or externally distributed document such as an invoice, check, or statutory report. Most Fusion implementations end up using both, not one instead of the other.
