How to automate email into Oracle Fusion Cloud ERP
Short answer
Read a shared mailbox through Microsoft Graph or IMAP, classify and extract each message with a model, validate against Fusion master data, and create transactions through REST or FBDI with a review queue for anything uncertain. Start with one document type, usually supplier acknowledgements or customer orders.
Even on a modern cloud ERP, a lot of operational data arrives as email: customer purchase orders as PDFs, supplier acknowledgements with revised dates, price change notices, freight bills. Someone retypes it into Fusion, and typing errors become expediting costs later.
Fusion has features for some of this. Payables can ingest invoices through its own capture options, and Order Management supports file or service based order import. But the long tail of semi-structured email, in many layouts, usually needs an extraction layer in front.
The pattern that works is boring and reliable: classify, extract, validate against ERP data, then either post automatically at high confidence or queue for a person.
What teams use it for
Customer PO to sales order
Read customer PO emails, match customer and items to Fusion, and create a sales order through the order import service or REST for a clerk to review.
Supplier acknowledgement parsing
Extract promise dates and quantities from supplier replies and propose updates to PO schedules.
RFQ response capture
Collect quotes from supplier emails into a comparison sheet linked to the negotiation or requisition.
Freight and service invoices
Route non-PO invoices to the right approver with coding suggestions for Payables.
Return and RMA requests
Detect return requests and prepare a return authorization draft with order and item references.
Oracle Fusion Cloud ERP integration surface
- Sales order import through file-based and service-based paths in Order Management; the exact service names depend on your release and setup.
- File-Based Data Import (FBDI): zip of CSV templates loaded via the Universal Content Management or Object Storage location and processed by ESS jobs, suited to batches.
- REST resources for purchase orders, supplier sites, items and customers for lookup and validation.
- Payables invoice capture options within Fusion, which you can use for standard supplier invoices before building anything custom.
- Oracle Integration for orchestration, file handoff and error handling.
How it works
- 1
Choose the mailbox and scope
Pick one shared mailbox per document type. Mixed inboxes make classification harder and exceptions noisier.
- 2
Ingest safely
Use Graph or IMAP, strip tracking content, store the raw message and attachments immutably, and record a hash for audit.
- 3
Classify and extract
A model identifies the document type and pulls fields to a fixed schema, returning confidence for each field.
- 4
Validate against Fusion
Look up customer, bill-to, item, unit of measure and open PO through REST. Reject anything that does not resolve.
- 5
Choose the load path
Use REST for single transactions, or build an FBDI file for batches and run the ESS import with monitoring.
- 6
Route by confidence
Auto-create drafts only above a threshold you set from sample testing; send the rest to a review screen with the email and extracted fields side by side.
- 7
Learn from corrections
Capture reviewer edits as examples and review accuracy monthly per sender and field.
Example flows
Customer order email to draft sales order
Trigger: A PDF purchase order arrives at the orders mailbox.
- The pipeline classifies it as a customer PO and extracts customer, PO number, lines and dates.
- Customer and item cross-references are checked against Fusion master data.
- A draft order is created or an import file is staged.
- A clerk reviews price and ship-to differences, then submits.
Result: Entry time drops and every order links back to the source email.
Supplier date change proposal
Trigger: A supplier replies with new delivery dates for three PO lines.
- The model extracts PO number, line and new date.
- The service compares with current promise dates and calculates the slip.
- A proposal goes to the buyer with the email snippet.
- On approval, the schedule is updated through the supported change process.
Result: Buyers see slips the day they are announced, with the evidence attached.
Keeping data on-prem
Mail often contains customer prices, drawings references and export controlled part numbers. Run the extraction model on your own GPUs or in a private tenant, and keep the raw message archive in storage you control. Fusion receives only the validated transaction. If the mailbox is Microsoft 365, access it with least-privilege application permissions scoped to one mailbox, and confirm your policy on sending content to any external model API. Many regulated manufacturers choose an open-weight model for this reason.
Security checklist
- Scope mailbox access to specific mailboxes with application access policies.
- Treat attachments as untrusted: scan, limit file types and sizes.
- Defend against prompt injection in email bodies by never letting content choose tools or approval paths.
- Keep immutable copies of source emails for audit and dispute handling.
- Block auto-posting for new senders until a person has verified them.
Ways to get it done
Use native Fusion capture where it fits
Effort: Configuration and testing, no custom code.
Standard supplier invoices and simple order import.
Build an extraction pipeline in-house
Effort: Four to eight weeks for one flow with a review UI.
Teams with engineers and a clear single document type.
Work with a partner like Netray
Effort: Phased by document type.
Several document types, private model requirement, or mixed languages.
Pitfalls
- !Auto-posting before measuring accuracy on at least a few hundred real emails.
- !Ignoring email threads, so an old quote is mistaken for the latest.
- !Failing to dedupe forwards and reminders, creating duplicate orders.
- !Mapping customer part numbers without maintaining cross-references.
- !Building FBDI files without handling partial failures reported by the ESS job.
Frequently asked questions
Can Fusion read emails by itself?
Some features, such as invoice capture options in Payables, can ingest emailed documents when configured. For orders, acknowledgements and free-form messages you usually add an external extraction layer and load through REST or FBDI.
REST or FBDI for loading?
REST suits single, interactive transactions and immediate validation. FBDI suits batches and large volumes but is asynchronous, so build monitoring for ESS job results. Many teams use REST for drafts and FBDI for bulk.
How accurate is extraction?
It depends on document variety and quality. Clean, repeated layouts do well; scans and free text need review. Measure per field on your own samples and set thresholds from that, not from vendor claims.
Is a local model good enough?
For structured business documents, open-weight models of modest size often do well when paired with schema constraints and validation against ERP data. Test on your emails before deciding.
What about attachments in other languages?
Modern models handle many languages, but verify with real samples, especially for units, dates and decimal separators, and keep a reviewer who reads the language.
