SAP PM Reports: Key Plant Maintenance Tcodes and What They Answer

Question
sap pm reports

Also searched as

  • sap plant maintenance reports tcodes
  • IW28 IW38 IW39
  • sap pm order list report
  • sap equipment list IH08

Short answer

The core SAP PM list reports are IW28 and IW29 for notifications, IW38 and IW39 for maintenance orders, IH08 for equipment, IH06 for functional locations, IP24 for maintenance plans and IW49N for operations. Change versions (IW28, IW38) allow mass changes, display versions (IW29, IW39) are read-only. All use a selection screen plus layout variants.

Applies to: SAP ECC 6.0 and S/4HANA Plant Maintenance

Pick the report for your question

  1. 1Open work backlog: IW38 (change) or IW39 (display) with selection by plant, work center, order type and system status such as REL (released) not TECO.
  2. 2Notifications: IW28 / IW29, select by notification type (M1, M2, M3), date range and status (outstanding, in process).
  3. 3Equipment master list: IH08, filter by plant, equipment category, manufacturer or class values.
  4. 4Functional location list: IH06. Add structure display to see the hierarchy.
  5. 5Maintenance plan schedule: IP24 (maintenance plan list) and IP19 (scheduling overview) for what is due.
  6. 6Operations and workload per work center: IW49N, or CR60/CM01 style capacity views where used.
  7. 7Save a layout variant and a selection variant (Variant button) so recurring reports run in one click.

What each one tells you

IW28 and IW29 answer how many breakdowns and requests are open and how fast they are handled. IW38 and IW39 show the order backlog, cost fields (planned, actual) and status. IW37N and IW49N dig into operations, which is where planned hours and work centers live.

Equipment history lives in IH08 with the order and notification history reachable from the equipment, and the Object List button on orders shows which equipment or functional locations the work touched.

Cost and KPI reporting

Maintenance cost per equipment can be read from the order's cost fields and from CO reporting with KOB1 (orders actual line items) or S_ALR_87013611 style order reports where used. Failure analysis uses damage and cause codes on notifications, and the PM information system (reports such as MCI5, MCJB for notifications) in systems where the logistics information system is active.

MTBF and MTTR are not shown by default; build them from notification malfunction start and end times (QMIH fields) or through a custom report or analytics app.

Tips to make lists useful

Use layouts that show order, equipment, functional location, planner group, system status and priority. Use the status selection carefully: user and system status can exclude orders unintentionally. Download to spreadsheet from the list toolbar, or schedule the report as a background job to e-mail to planners.

Common pitfalls

  • !Using the change transaction (IW38) when a display one is enough, risking accidental mass changes.
  • !Forgetting that the default status selection hides closed or deleted-flagged orders.
  • !Comparing cost fields without knowing whether settlement has already moved cost to the receiver.
  • !Building KPIs from orders when malfunction times sit on the notification.

How an ERP-grounded AI assistant handles this

Maintenance planners ask questions like which pumps had three or more breakdowns this year. A grounded assistant over the SAP PM data answers that directly, shows the underlying selection, and stays read-only within the user's authorizations. It complements the standard lists rather than replacing them.

Frequently asked questions

What is the difference between IW28 and IW29?

Both list notifications. IW28 is the change version which lets you mass edit and process notifications. IW29 is display only. The same pattern applies to IW38 (change orders) and IW39 (display orders).

Which tcode lists all equipment?

IH08 is the equipment list display. Use IE05 for the change list. For a hierarchy of locations use IH06 for functional locations.

How do I see maintenance plans that are due?

Use IP24 for the plan list and IP19 for the scheduling overview, which shows calls due. IP30 schedules the plans and generates the maintenance orders or notifications.

Where do I find maintenance cost per equipment?

Open the orders for the equipment through IW38/IW39 and read planned and actual costs, or use CO reports on the maintenance orders. Settlement receivers determine where final cost lands.

SAP PP Standard Reports: COOIS, CO46, MD04, CM01, CS12 and PPIO_ENTRY

The core standard reports in SAP PP are COOIS (order information system), CO46 (order progress), MD04 (stock and requirements list), CM01 (capacity load by work center), CS12 (multilevel BOM) and COGI (goods movement errors). PPIO_ENTRY is an entry point to the order information system with list-based selection for orders, operations and components.

SAP QM inspection results report: which tcode shows what

Use QA32 for the list of inspection lots, QE51N or QE03 for recorded results, the QM information system (for example QM12) and QGC2 for evaluations of characteristics over time, and QA11 or QAVE for usage decisions. If none fits, read the tables QALS, QAMV, QAMR and QAVE directly.

How-to

SAP PO Report by Creator: Transactions and EKKO-ERNAM

To list SAP purchase orders by who created them, run ME2N or ME80FN and filter on Created By (EKKO-ERNAM), using dynamic selections when the field is not on the selection screen. For a quick raw list, read table EKKO in SE16N with ERNAM set to the user ID. Save the selection as a variant so buyers and managers can rerun it.

Error fix

SAP: error in determining actual costs for order (and valuation with material cost estimate errors)

These errors usually mean the system cannot value an order or a goods movement because the costing setup is incomplete: no released standard cost estimate for the material, a costing variant or valuation variant that does not match, or a missing settlement rule or profile. Fix the cost estimate release first, then check the order's costing variant and settlement setup.

Error fix

SAP M7 021: Deficit of SL Stock Quantity

M7 021 fires during a goods issue, delivery, or confirmation when SAP checks the unrestricted-use (SL) stock for the exact plant, storage location and batch combination and finds less than what you are trying to post out. Fix the entry (batch, storage location, quantity) first; only enable negative stock or downgrade the message to a warning if the business genuinely needs to post ahead of a receipt.

Error fix

SAP IDoc Status 51: Application Document Not Posted

Status 51 tells you the IDoc reached the application layer and failed to post, but the status text itself is not the error - the real cause sits in the status record's long text or the linked application log. Fix the underlying data or configuration, then reprocess the IDoc through BD87 rather than editing the status.
