Inspection Checklist in SAP PM: How It Works and a Free Template

In SAP PM an inspection checklist is a maintenance task list whose operations carry inspection characteristics, scheduled by a maintenance plan and executed through a maintenance order. This template lets you design the checklist on paper first, then build it in SAP, or print it for areas without mobile devices.

Edit the characteristic rows to match your master inspection characteristics. In SAP the same content lives in a task list with inspection characteristics, so use this printout as the design document before you configure it.

Review your SAP PM inspection design

An optional expert review of your task lists, characteristics and plan structure before you go live.

Optional. The tool and every export work without this. No spam.

How an inspection checklist is built in SAP PM

There is no single checklist object. You create a task list for equipment (IA01), a functional location (IA11) or as a general task list (IA05), then add operations that describe each check. Inspection characteristics are assigned to the operations, with limits and a result type such as quantitative, qualitative or a code from a catalog. A maintenance plan (IP01) calls the task list on a schedule, and scheduling (IP10) generates the order or the notification that the inspector works from.

  • Master inspection characteristics are maintained centrally in QS21
  • Task list types: general (A), equipment (E), functional location (T)
  • Maintenance plan holds the interval, strategy and call object
  • Results are recorded against the order and feed history

Designing a good checklist

Keep each characteristic measurable or answerable with a defined list of values. Replace vague entries such as check pump with a limit, a unit and a method. Group the checks by operation so they match the physical walk-around, and attach safety steps first. Use a catalog code for failure findings so that a not OK result can trigger a notification with a damage code, which makes later reliability analysis possible.

Common mistakes

Teams often copy a paper checklist line by line into SAP, ending with hundreds of free-text operations and no limits, so nothing can be trended. Another frequent issue is one task list reused for different equipment sizes, which leaves limits wrong. Plan one task list per equipment class and use the reference to a master characteristic where limits are common. Finally, train inspectors to record the result in the order, not only on paper.

Frequently Asked Questions

How do I create a checklist in SAP PM?

Create a task list (IA05, IA01 or IA11), add operations for each check, assign inspection characteristics with limits, then reference the task list in a maintenance plan (IP01). Schedule it with IP10 so orders are generated for inspectors.

Which transaction records inspection results in SAP PM?

Results are recorded against the maintenance order operation that carries the characteristics. The exact screen depends on release and on whether you use mobile apps, so confirm with your SAP PM consultant. Many plants also record measuring point readings.

What is the difference between a task list and a maintenance plan?

The task list defines the work, operations, components and characteristics. The maintenance plan defines when the work is due and which object it applies to. One task list can be called by many plans.

Can I use this for non-SAP inspections?

Yes. The checklist structure with operation, characteristic, method, limits and result works for any preventive inspection form. Edit the rows and export to PDF or Word.

Netray can add a private AI layer over your SAP PM history so planners can ask which inspections fail most often, with the query shown and SAP roles respected.
