Inspection Results and Inspection Plan Reports in SAP QM

Question
inspection results report in sap qm

Also searched as

  • inspection plan report in sap qm
  • QGC1 SAP QM
  • QA32 inspection lot list
  • QP19 inspection plan where used

Short answer

For inspection results in SAP QM, list lots in QA32, display results per lot in QE03, and analyse them over time with the QM evaluation transactions such as QGC1. For inspection plans, QP01 to QP03 maintain and display plans and QP19 gives the where-used list that ties plans to materials. The data sits in QALS, QAMV, QAMR, QAVE, PLKO and MAPL.

Applies to: SAP ECC 6.0 and S/4HANA on-premise QM. Menu paths and Fiori apps vary by release.

How to run the main QM reports

  1. 1To list inspection lots, run QA32. Select plant, material, inspection type and the creation or end date, and choose the status selection (for example UD not yet made).
  2. 2Open a lot from the list to see its results, or use QE03 to display results for a lot and operation directly.
  3. 3To analyse results statistically (control charts, histograms, capability), use the QM evaluation transactions starting with QGC1. Enter plant, material, master inspection characteristic and a date range.
  4. 4For an inspection plan overview, display a plan with QP03 or use the plan list reports from the QM Planning menu to filter by plant, material and status.
  5. 5Use QP19 for the where-used view, to find which materials and plants a plan or characteristic is assigned to before changing it.
  6. 6Use SE16N for raw checks: QALS (lots), QAMR (results per characteristic), QAVE (usage decision), PLKO and MAPL (plan headers and material assignment).
  7. 7Save selection variants and ALV layouts, and schedule the lot list for the quality team if it is used daily.

Results reports

QA32 is the work list for inspection lots and the right starting point for most questions: which lots are open, which are waiting for a UD, which failed. It shows lot status and quantities but not the measured values.

Measured values are in the results. QE03 displays them per lot, and the evaluation transactions aggregate them across lots so you can see trends for a characteristic, such as the mean and spread of a dimension over a quarter. QAMR holds the results per characteristic if you need them in a query.

QA32 Inspection lot list QA03 Display lot
QE03 Display results QGC1 Quality data evaluation (charts, histograms)
QP03 Display inspection plan QP19 Where-used list

Inspection plan reports

The plan holds operations and characteristics (tables PLKO, PLPO, PLMK) and is linked to materials through MAPL. QP03 shows one plan. For a list across many, use the QM planning list reports, which allow selection by plant, plan group, status and usage.

Before changing a master inspection characteristic or a plan used by many materials, run the where-used list so you know what the change touches. QP19 supports this.

Common reporting needs

For a supplier quality view, filter lots by vendor and the goods receipt inspection type (01), then group results by vendor. For a certificate-of-analysis style output, use the QM certificate functions and not a screen report.

In S/4HANA, SAP also delivers Fiori apps for QM evaluation and lot overviews, which may suit managers better than classic list transactions.

Performance

Result tables are large. Always filter by plant, material and a date range, and avoid reading QAMR across all years. If management reports are slow, build them on an extract or a CDS-based analytic app and not on dynamic selections of the live tables.

Common pitfalls

  • !Using QA32 and expecting measured values. It lists lots, not results.
  • !Running evaluations with no date range on large result tables.
  • !Changing a plan used by many materials without a where-used check.
  • !Mixing master inspection characteristic versions when evaluating trends.
  • !Treating a screen list as an audit-ready certificate.

How an ERP-grounded AI assistant handles this

An assistant grounded in SAP QM can answer questions like which characteristics failed most at incoming inspection this quarter or which plans use this characteristic, by reading QALS, QAMR and the plan tables and showing the query. On-prem, Netray keeps this local and read-only with SAP roles respected, so quality data does not leave the plant network.

Frequently asked questions

What is the transaction for inspection results in SAP QM?

QE03 displays results for an inspection lot, QA32 lists lots, and the evaluation transactions such as QGC1 analyse results across lots with charts. Raw results are in table QAMR if you need a custom report.

How do I get an inspection plan report in SAP?

Display a plan with QP03, use the QM planning list reports to filter plans by plant, group and status, and use QP19 for the where-used list tying plans to materials. The underlying tables are PLKO and MAPL.

Which tables hold SAP QM inspection data?

QALS holds inspection lots, QAMV the characteristic specifications for the lot, QAMR the results, QAVE the usage decision, and PLKO, PLPO and MAPL the plan header, operations and material assignment. Use SE16N with filters for checks.

Can I see inspection results in a Fiori app?

In S/4HANA there are Fiori apps for lots and quality evaluation, depending on release and licence. They suit managers well. Check your Fiori apps library for the versions available in your system.

SAP QA11 Usage Decision: Make It and Post Stock Correctly

The usage decision (UD) in QA11 closes an inspection lot, assigns a quality score and a UD code such as accepted or rejected, and posts the lot quantity from quality inspection stock to unrestricted use, blocked stock, scrap or return to vendor. The UD is blocked until required inspection characteristics are closed and results are recorded.

How-to

How to Reverse a Usage Decision in SAP QM

Reverse a usage decision from QA12 (Change Usage Decision) by changing or resetting the decision on the inspection lot, which also reverses the automatic stock posting from inspection stock, provided nothing has used that stock or closed the lot. If the system refuses, post the stock back with a manual transfer posting and document the reason. The exact menu wording varies by release.

Error fix

SAP QM: Inspection Lot Not Created at Goods Receipt

An inspection lot is created only when QM is active for the plant, the material has an active inspection type for the goods movement, and the material carries a QM control key. Check the Quality Management view in MM02, confirm inspection type 01 (purchase order) or 04 (production order) is active, then check QM activation in the plant and the goods movement used.

Error fix

SAP M7 021: Deficit of SL Stock Quantity

M7 021 fires during a goods issue, delivery, or confirmation when SAP checks the unrestricted-use (SL) stock for the exact plant, storage location and batch combination and finds less than what you are trying to post out. Fix the entry (batch, storage location, quantity) first; only enable negative stock or downgrade the message to a warning if the business genuinely needs to post ahead of a receipt.

Error fix

SAP IDoc Status 51: Application Document Not Posted

Status 51 tells you the IDoc reached the application layer and failed to post, but the status text itself is not the error - the real cause sits in the status record's long text or the linked application log. Fix the underlying data or configuration, then reprocess the IDoc through BD87 rather than editing the status.

Error fix

SAP Short Dump TIME_OUT: Maximum Runtime Exceeded

A TIME_OUT runtime error means a dialog (or RFC) work process ran longer than the maximum allowed runtime, controlled by profile parameter rdisp/max_wprun_time (600 seconds by default). The fix is almost always to move the long-running work to background processing or tune the underlying program, not to raise the timeout.
