How to Create a Selected Set in SAP QM (QS51)
how to create selected set in sap qm

Short answer
A selected set is a subset of codes taken from one or more catalog code groups, so users only see the relevant choices. Create it with QS51 for a catalog type and plant, add the codes, save, and then assign it to a master inspection characteristic (QS21), the usage decision, or defect recording.
Applies to: SAP ECC 6.0 and SAP S/4HANA on-premise with QM
Create a selected set
- 1First make sure the catalog codes exist: create code groups and codes in QS41 (Maintain Code Groups and Codes) for the catalog type you need.
- 2Run QS51 (Create Selected Set). Enter the catalog type and the plant.
- 3Enter a selected set key and a short text.
- 4Choose the code groups you want to draw from, and select the individual codes you want in the set.
- 5Save. The selected set can be assigned a status and be released.
- 6Use QS52 to change and QS53 to display the set.
- 7Assign it where needed: in the master inspection characteristic (QS21) for qualitative characteristics, in the plant-level usage decision settings, and in defect recording for the defect catalog.
Catalogs, code groups and selected sets
QM stores qualitative data in catalogs. Each catalog type serves a purpose, such as characteristic attributes, usage decisions, defect types, defect causes and defect locations. Inside a type, codes are grouped in code groups, and a code group is the unit you assign to many objects.
A selected set narrows a long list. For example, a usage decision code group may have ten codes but a plant only uses three of them. By defining the set, you restrict the choices in QA11 to those three and avoid mistakes.
Selected sets are plant-specific. Sets can be restricted by plant so that one site's defects do not appear for another.
Using the set for characteristic and code valuation
For a qualitative characteristic such as surface appearance, the master inspection characteristic references a selected set. At results recording, the inspector chooses an attribute code from that set, such as OK, scratch or dent. Each code has a valuation of accepted or rejected, which drives the characteristic valuation.
The valuation of codes is part of the catalog definition, so check it when you define codes. A code accepted in one set but rejected in another is a design error that confuses users.
Usage decision codes in a set also carry a quality score and a valuation. The UD set gives users a short list instead of the full catalog.

Common problems
If a set does not appear in the dropdown of a characteristic, check the plant, the catalog type and the status. A selected set that is created but not released does not show.
If you change a set after inspection lots exist, existing lots keep the values they copied. The change applies to new lots only. Plan changes and communicate them.
Transport catalogs and sets together. If the set refers to a code group that is not in the target system, the transport reports an error or silently loses the codes.

Common pitfalls
- !Creating the selected set before the code groups exist.
- !Mixing codes with different valuations in one set without telling the inspector.
- !Forgetting to release the set, so it never shows in the selection.
- !Expecting a change to the set to update existing inspection lots.
- !Transporting the set without the code groups and catalog entries.
How an ERP-grounded AI assistant handles this
Catalog design is a familiar source of data-quality problems: duplicate codes, mismatched valuations, characteristics pointing at the wrong set. A grounded assistant can list all characteristics using a set, spot codes never used, and flag inconsistent valuations. Netray can deploy the assistant on your own servers in read-only mode so your quality catalogs stay in-house.
Frequently asked questions
What is the tcode for a selected set in SAP QM?
QS51 creates a selected set, QS52 changes it and QS53 displays it. The code groups behind it are maintained in QS41.
What is the difference between a code group and a selected set?
A code group is a collection of related codes in a catalog. A selected set is a plant-level subset taken from one or more code groups, used to limit what users can choose.
Where do I assign a selected set?
Typically in the master inspection characteristic (QS21) for qualitative characteristics, in the usage decision setup, and in defect recording. Task lists then inherit it from the characteristic.
Why is my selected set not visible?
Check that it is for the right plant and catalog type and that its status allows use. Also check that the code group is valid and the codes themselves are not locked.

How to Reverse or Cancel a Usage Decision (UD) in SAP QM
Use QA12 (Change Usage Decision) to change a usage decision you already made in QA11. It works when the lot has not been closed by follow-on processes. If stock has already been posted or follow-up actions ran, you may have to correct the stock with a movement type instead. The authorization to change UDs is separate from the one to make them.
How-toHow to Create an Inspection Method in SAP QM (QS31)
An inspection method describes how a characteristic is to be inspected, for example with a micrometer or a visual check, and holds the instructions. Create it with QS31 for a plant, set the status and version, write the text, and assign it to a master inspection characteristic (QS21) or directly in an inspection plan characteristic.
How-toSAP QA11 Usage Decision: Make It and Post Stock Correctly
The usage decision (UD) in QA11 closes an inspection lot, assigns a quality score and a UD code such as accepted or rejected, and posts the lot quantity from quality inspection stock to unrestricted use, blocked stock, scrap or return to vendor. The UD is blocked until required inspection characteristics are closed and results are recorded.
Error fixSAP M7 021: Deficit of SL Stock Quantity
M7 021 fires during a goods issue, delivery, or confirmation when SAP checks the unrestricted-use (SL) stock for the exact plant, storage location and batch combination and finds less than what you are trying to post out. Fix the entry (batch, storage location, quantity) first; only enable negative stock or downgrade the message to a warning if the business genuinely needs to post ahead of a receipt.
Error fixSAP IDoc Status 51: Application Document Not Posted
Status 51 tells you the IDoc reached the application layer and failed to post, but the status text itself is not the error - the real cause sits in the status record's long text or the linked application log. Fix the underlying data or configuration, then reprocess the IDoc through BD87 rather than editing the status.
Error fixSAP Short Dump TIME_OUT: Maximum Runtime Exceeded
A TIME_OUT runtime error means a dialog (or RFC) work process ran longer than the maximum allowed runtime, controlled by profile parameter rdisp/max_wprun_time (600 seconds by default). The fix is almost always to move the long-running work to background processing or tune the underlying program, not to raise the timeout.
