SAP QM Sample Label Printing: How to Print Physical Sample Labels
sap qm sample label printing

- sap qm sample label not printing
Short answer
SAP QM prints sample labels for a physical sample that is tied to an inspection lot. You run the sample labelling transaction from the QPR range (QPR1 is the usual entry point), pick the lot or physical-sample number, and the system sends a form to the output device you choose. If nothing prints, the cause is almost always the form assignment or the printer, not QM data.
Applies to: SAP ECC 6.0 and S/4HANA on-premise. Transaction names are stable; the form technology (SAPscript, Smart Forms, Adobe Forms) depends on how your project configured it.
How to print sample labels for an inspection lot
- 1Confirm the inspection lot exists and the inspection type is active (QA03 to display the lot). Samples hang off the lot, so no lot means nothing to label.
- 2Make sure a sample-drawing procedure is on the inspection setup so the system generates physical sample records. See the QPV1 page for how those are managed.
- 3Create or check the physical sample (QPV1 for managing physical samples against the lot). Each physical sample gets its own number, and that number is what the label carries.
- 4Start the sample label print from the QPR transaction family (QPR1 for labels). Enter the plant, inspection lot or physical sample number and the selection you want.
- 5Choose the output device in the print dialog. If it is empty, set your default printer in SU3 (Own Data > Defaults > Output Device).
- 6Use Print Preview first. It tells you whether the form is found and populated before you waste label stock.
- 7Release the print and check SP01 (spool requests) if the label does not come out.
What the label is built from
A sample label is a form that reads data from the inspection lot and the physical sample record: material, plant, batch, inspection lot number, sample number, storage details and often a barcode. The data selection is done by a print program; the layout lives in a form. Which form is used is a configuration decision made in the QM customizing for sample handling and print control, and in many companies it is a copy of the standard form that a developer has adapted to a specific label size.
That split matters when you troubleshoot. If the preview shows wrong or missing fields, the form or print program needs a fix. If the preview is fine but paper does not appear, the problem is in output determination or the printer.
Form and output configuration
Ask your QM consultant or Basis team which form is assigned in your system rather than guessing a name. For forms, the tools are SE71 for SAPscript, SMARTFORMS for Smart Forms, and the Adobe form builder (SFP) for Adobe Forms. After any change, test with the preview and then with a real device.
Label printers usually use a device type that understands ZPL or a similar language, or a Windows driver path through SAPSprint. A wrong device type causes garbage output or a blank label. Check this in SPAD, covered in the printer troubleshooting page, before you blame the form.

Common reasons labels do not print
The most frequent cause is that no physical sample exists because the sample-drawing procedure was not assigned, so the print selection returns nothing. The second is a user with no default output device. The third is a spool request stuck in Error or Waiting because the output device is wrong or the spool work process is down.
If labels print but with the wrong size or offset, the problem is the page format in the form or the printer media setting, not SAP QM. Fix the layout once in the form and check on the physical printer.

Common pitfalls
- !Printing before the physical sample is created: the selection finds nothing and the user sees no error.
- !Copying the standard form into a Z form and forgetting to reassign it in customizing, so changes never show up.
- !Using a laser printer device type for a thermal label printer, which produces blank or garbled labels.
- !Testing only in print preview and never on the real device, so page size problems appear at go-live.
- !Not setting SU3 defaults, so each user gets a dialog with an empty device field.
How an ERP-grounded AI assistant handles this
An AI assistant grounded in your SAP system can answer 'why did lot 10000123 not produce a sample label?' by checking whether the lot has physical samples, which sample-drawing procedure applies and whether a spool request failed, then showing the evidence. Netray builds this as a private layer over SAP, read-only by default, so labelling questions do not require sending QM data to a public service.
Frequently asked questions
Which transaction prints sample labels in SAP QM?
The sample labelling functions sit in the QPR transaction range, and QPR1 is the usual starting point. Physical samples themselves are managed in QPV1. Because menus and forms vary by project, confirm the exact transaction and form with your QM consultant before building a process around it.
Why does the sample label preview work but the printer prints nothing?
Preview only proves the form and data are fine. Check SP01 for the spool request status and error text, then SPAD for the output device, device type and access method. A failed or waiting request almost always points to the printer definition or the spool work process.
Can I add a barcode to the SAP QM sample label?
Yes, but it is a form change, not a QM setting. Barcodes are added in the form layout using a barcode style or font, and the printer must support it. Test the scan on the real label printer, because barcode size and quiet zones depend on the device.
Do I need a developer to change the label layout?
Usually yes for anything beyond text position. Layout lives in the form (SAPscript, Smart Forms or Adobe), and adding fields can require a change to the print program that selects the data. Small position changes can often be done by a form specialist without touching the program.

SAP QM Sample-Drawing Procedure: Setup and Use (QPV1)
A sample-drawing procedure defines how physical samples are taken for an inspection: how many, in which containers, and what they are used for. Create it with QPV1, then reference it from the inspection plan (or material and inspection setup), so that when a lot is created the system generates the physical sample records, which you can also create manually with QPR1.
How-toHow to Create a Sampling Procedure in SAP QM
In SAP QM, a sampling procedure decides how many units to inspect and how to accept or reject the lot. Maintain it in QDV3, choose a sample type (fixed, percentage, sampling scheme or 100 percent) and a valuation mode, and where needed build the scheme in QDP1. Then assign the procedure to a master inspection characteristic or inspection plan.
Error fixPrinter Not Working in SAP: Troubleshooting Spool Requests with SP01 and SPAD
When SAP does not print, the answer is in the spool request. Open SP01 (or SP02 for your own), read the status and error text, then check the output device in SPAD: device type, access method, host printer name and whether the spool server and a spool work process are available. Most cases are a wrong device definition, a stopped spool work process or a missing user default.
Error fixSAP QM: Inspection Lot Not Created at Goods Receipt
An inspection lot is created only when QM is active for the plant, the material has an active inspection type for the goods movement, and the material carries a QM control key. Check the Quality Management view in MM02, confirm inspection type 01 (purchase order) or 04 (production order) is active, then check QM activation in the plant and the goods movement used.
Error fixSAP M7 021: Deficit of SL Stock Quantity
M7 021 fires during a goods issue, delivery, or confirmation when SAP checks the unrestricted-use (SL) stock for the exact plant, storage location and batch combination and finds less than what you are trying to post out. Fix the entry (batch, storage location, quantity) first; only enable negative stock or downgrade the message to a warning if the business genuinely needs to post ahead of a receipt.
Error fixSAP IDoc Status 51: Application Document Not Posted
Status 51 tells you the IDoc reached the application layer and failed to post, but the status text itself is not the error - the real cause sits in the status record's long text or the linked application log. Fix the underlying data or configuration, then reprocess the IDoc through BD87 rather than editing the status.
