SYSPRO integration with HubSpot, Mailchimp, Stripe and DPD

Question
syspro integration with hubspot api

Short answer

Connect SYSPRO to external services through a small middleware service that calls SYSPRO e.net business objects on one side and the partner REST API on the other. Sync customers and orders on a schedule or by event, keep a mapping table of external ids, and log every failure. Never write to SYSPRO tables directly.

Applies to: SYSPRO 7 and 8 with e.net Solutions. The HubSpot, Mailchimp, Stripe and carrier APIs change, so check each vendor's current API reference.

Build a SYSPRO to SaaS sync

  1. 1Decide the system of record for each entity: usually SYSPRO for customers, stock, orders and invoices, and HubSpot or Mailchimp for marketing contacts.
  2. 2Build a middleware service (or iPaaS flow) with a dedicated SYSPRO integration operator.
  3. 3Read customers through a query object such as ARSQRY, and map them to HubSpot companies or Mailchimp audience members using a stored external id.
  4. 4For inbound orders, validate the payload and create sales orders through the sales order business object, using an external reference to stop duplicates.
  5. 5For Stripe, record the payment against the invoice or order through the receipt or cash posting route your finance team approves, matching on the Stripe charge id.
  6. 6For carriers such as DPD, send the dispatch data after shipping and write the tracking reference back to the order through an object or a custom field.
  7. 7Store every request, response and error with the SYSPRO key and the external id.
  8. 8Retry with backoff, alert on repeated failure, and review a daily reconciliation count.

The pattern behind every connector

All four integrations share a shape: a trigger, a mapping, a call, a result and an audit record. Keep the mapping in a table, not in code, so you can change it without redeploying. Keep an external id on both sides so you can update rather than duplicate.

Prefer small, frequent syncs over one nightly bulk job. They fail in smaller pieces and are easier to retry. Rate limits on the SaaS side set the pace, so honour them.

HubSpot and Mailchimp

For HubSpot, sync companies and contacts one way from SYSPRO for sales context, and bring back opportunities or quotes only through an approved order flow. For Mailchimp, push customer segments (for example by customer class or last order date) and respect consent: only sync people who have opted in.

Do not copy more personal data than the marketing tool needs. Keep consent status in the source of truth.

Stripe and DPD

Stripe is about money and reconciliation. Use webhooks for events, verify the signature, and make posting idempotent on the charge id. Finance should own how a payment becomes a cash receipt in SYSPRO, including fees and refunds.

A carrier like DPD needs a clean address and weight from the order. Validate before you create a label, store the parcel number back on the order and use the carrier tracking feed to update status. Check the carrier's current API for authentication and label formats.

Common pitfalls

  • !Two systems both treated as master for customers, leading to overwrite loops.
  • !No external id, so retries create duplicate orders or contacts.
  • !Syncing marketing contacts without consent flags.
  • !Posting Stripe payments with no handling for fees, refunds or partial payments.
  • !Hard coded credentials in the middleware instead of a secret store.

How an ERP-grounded AI assistant handles this

Netray builds private integrations and agents on top of SYSPRO: an assistant can check a stuck sync, explain why an order did not create, and propose the fix for a person to approve. Models run on your own hardware, so customer and order data are not sent to a public model.

Frequently asked questions

Is there a ready connector for HubSpot?

Some SYSPRO partners and marketplaces offer connectors. If you choose one, check how it maps customers and orders. If not, a small middleware over e.net business objects works and gives you control.

Can Stripe write directly into SYSPRO?

It should not. Receive the Stripe event in your middleware, validate it and post through a SYSPRO business object so GL and receivables logic run.

How do I avoid duplicate orders?

Send a unique external reference on every order and check for it before creating. Make the middleware idempotent so a retry is safe.

Where should the integration run?

Close to SYSPRO, on a server that can reach the e.net service, with outbound access limited to the partner APIs it needs.

SYSPRO API integration: e.net business objects, REST, EDI and Office

SYSPRO integrates mainly through e.net Solutions, a set of business objects that take and return XML, exposed through COM, .NET and web service interfaces including a REST style service in recent SYSPRO 8 releases. EDI and Office integration cover document exchange and spreadsheet work. Pick the route by direction, volume and who owns the code.

How-to

How to Create a SYSPRO Sales Order with the SORTOI Business Object

SORTOI is the SYSPRO e.net business object that enters sales orders from outside the SYSPRO client. You log on to get a session id, call the business object with a Parameter XML and a Document XML describing the order header and lines, then read the XML that comes back for warnings and the new sales order number. Always test in a non-production company first.

Error fix

Error validating SYSPRO online profile: what it means and how to fix it

A profile validation error means the SYSPRO client or service could not confirm the operator, company, licence or database connection it was handed at logon. Check the service and licence first, then the operator and company, then the database and disk, in that order. Storage errors are usually full disks, a locked SQL file or a tempdb problem rather than a SYSPRO bug.

How-to

SYSPRO reporting API: e.net, SRS server-side reporting, Crystal Reports and SRS preview problems

SYSPRO gives you three reporting routes: the e.net Solutions business object API (XML in, XML out) for programmatic data, SYSPRO Reporting Services (SRS) for designed reports run on the server, and Crystal-based or SQL-based custom reports. If the SRS preview does not work, check the services, the runtime and bitness, the SQL permissions and the client and server versions in that order.

How-to

How to update SYSPRO (and how to check the latest version)

SYSPRO 8 ships as named releases (for example 2022 R1 style names) plus later updates, and the current release is listed on the SYSPRO partner and customer portals, not on a fixed public page. To update, back up, test the new build on a copy of your data, then update the server, services and clients in a planned window.

How-to

SYSPRO tables list: core database tables by module and safe queries

SYSPRO stores data in SQL Server with one admin database (SysproAdmin) and one database per company (for example SysproCompanyA). Table names are module prefixed and Pascal case, such as InvMaster, SorMaster and WipMaster. Query them read-only and write only through business objects.
