API Q1 Quality System Records for Valve and Pump Manufacturers

Short answer

Valve and pump manufacturers working under API Spec Q1, and those licensed to apply the API Monogram to products such as valves built to API 6D or API 600, must maintain defined quality system records and show them to auditors on request: control of nonconforming product, calibration of test equipment, supplier evaluation, product identification and traceability, corrective action and management review. The audit itself is rarely the problem. Finding consistent evidence across paper, spreadsheets and the ERP is. This page explains how to organize records and where AI helps prepare for audits.

What an API Q1 Audit Looks For

API Q1 builds on ISO 9001-style requirements and adds oil and gas specific ones. An auditor will sample a product, trace it from order review through design or specification review, material receipt, manufacturing, inspection and test, and shipping, and ask for the records at each step. They will check that personnel are qualified for special tasks, that test and measuring equipment is calibrated against traceable standards, that purchased product from suppliers is controlled, that nonconformances are documented with disposition, and that corrective actions are tracked to closure.

Gaps found at this sampling stage lead to findings that can threaten certification.

Records That Commonly Cause Findings

Findings tend to cluster in the same places across shops. They are usually process discipline failures, not technical failures, and many are visible in ERP data if you look for them.

  • Gauges and pressure transducers used on a test with calibration lapsed on the test date
  • Nonconformance reports closed without a documented disposition or verification
  • Supplier approvals not renewed, or purchase orders issued to unapproved suppliers
  • Material received without the required certificate, or certificates not matched to heat numbers
  • Corrective actions that remain open past their target date
  • Operators performing special processes without a current qualification record

Turning ERP Data Into Audit Evidence

If your ERP holds lots, inspection results, NCRs, supplier records and purchase orders, many audit samples can be built from queries rather than file hunts. For a sampled serial number you should be able to list the component lots and heat numbers, the receiving inspection results, the work order with operator and date stamps, the final test record with the equipment used, and the shipping documents. The same applies to supplier questions: list all POs issued in the last twelve months to suppliers whose approval has expired.

Building these queries once and keeping them current makes audit prep a matter of hours.

Ten questions to gauge how ready your quality system, records and ERP data are for an API Q1 or ISO 29001 audit.

Where AI Helps With Audit Preparation

A natural-language layer over ERP and document stores, run locally, can answer audit-style questions on demand: which test gauges were out of calibration during a given period, which NCRs are older than 30 days, which suppliers lack current approval. A language model can also draft internal audit checklists from your procedures, compare procedures with what records show, and find inconsistencies, such as a work instruction citing a retired form. Every answer should cite its source record, and the quality manager remains responsible for conclusions.

AI does not replace the audit; it helps find gaps before the auditor does.

When a Lighter Approach Is Enough

If you are a small shop with a few product lines, a limited number of records per month, and a quality manager who knows where everything is, a well-organized document system and a monthly self-check may be all you need. The tooling becomes valuable as volume grows, as multiple people share responsibility for records, or when you are expanding the scope of your license to new product lines. Also remember that AI cannot create evidence that does not exist.

If a calibration was missed, the fix is process, not software.

Frequently asked questions

What is the difference between API Q1 and API Monogram?

API Spec Q1 is the quality management system specification for organizations that manufacture products for the petroleum and natural gas industry. The API Monogram is a mark that a licensed manufacturer may apply to products that conform to an API product specification, under the API Monogram Program, which requires a Q1-compliant system. Check API's current program documents for exact requirements.

How often are API Monogram audits performed?

Licensed facilities are audited on a recurring cycle set by API's program, typically annually or on another defined interval, with additional audits possible for cause. Verify the current schedule and scope for your license in the program documentation, and keep records audit-ready all year rather than preparing only before a visit.

Can AI help with nonconformance report analysis?

Yes. A model can group NCRs by cause, product family, supplier and operation to reveal repeat issues, check that each has a disposition and closure evidence, and draft trend summaries for management review. Quality staff must verify conclusions and decide corrective actions, since the responsibility for the quality system stays with the organization.

Netray can build a set of audit-evidence queries over your ERP records and show which API Q1 sample trails are complete and which have gaps today.
