Start With What You Cannot Live Without
List three or four must-haves before watching a single demo. For an aerospace machine shop it may be integrated quality records, FAI per AS9102 and lot traceability. For a high-mix prototype shop it may be fast quoting and good scheduling.
For a shop growing past 50 people it may be multi-site and financial depth. Systems built around quality and paperless floors, such as ProShop, serve compliance-heavy shops well; systems with deep accounting and larger scale, such as Epicor Kinetic or Global Shop Solutions, suit growing multi-department operations.
- Quality and document control: FAI, NCRs, calibration, certs
- Quoting speed and estimate-to-job conversion
- Scheduling: finite capacity versus simple dispatch lists
- Shop floor data collection and labor tracking
- Accounting depth, or integration with QuickBooks or another ledger
Quoting, Jobs and Costing
Every system in this class converts a quote into a job with a routing and tracks labor and material against it. Differences show up in how estimates are built (templates, similar-part copy, parametric formulas), how outside processing is purchased and tracked, and how clean the estimated versus actual comparison is. Ask each vendor to show a part quoted at three quantities, converted to a job, run, and then compared to actuals on one screen.
If that demo takes manual spreadsheet work, you will repeat that work every week.
Scheduling and Capacity
Scheduling is where shops are most often disappointed. Some systems give a dispatch list sorted by due date; others offer finite capacity scheduling that accounts for machine calendars, setup time and outside operations. A 15 machine shop can often live with a good dispatch list and a daily meeting.
A shop with bottleneck 5-axis machines and many expedited jobs usually needs finite scheduling, and needs clean routings and honest standard times for it to work. A scheduling engine fed bad times produces confident, wrong dates.

A searchable list of ERP systems small machine shops commonly shortlist, with vendor, category and what to verify in each demo.
Implementation, Support and Hidden Costs
Software price is a minor part of the total. Budget for data cleanup (part numbers, routings, work center rates), training, floor terminals or tablets, and the internal person who owns the system. Ask about implementation timeline, who configures it, what customization costs, and what the upgrade path looks like.
Many failed implementations come from loading messy routings into a new system and expecting new results. Reference calls with shops of your size and niche are worth more than any demo.
Where AI Fits After You Choose
Whatever you choose, the data inside it can be queried and drafted from by private AI. Netray builds natural-language question answering and quoting assistants over systems like JobBOSS, E2 and ProShop, read-only by default, showing the query it ran and respecting user roles. That means ERP choice is not locked to an AI strategy.
When this is not worth it: a shop with thin job history or inconsistent data entry should fix the data first, because AI on top of unreliable actuals just produces confident noise.
Frequently asked questions
Which ERP is best for a small CNC job shop?
It depends on size and compliance load. Small shops with simple needs often do well with JobBOSS2 or E2 Shop System. Shops with heavy quality and documentation demands often look at ProShop. Larger shops may move to Global Shop Solutions or Epicor Kinetic. Validate with reference shops of similar size rather than choosing from feature lists.
How long does a job shop ERP implementation take?
Typically several months for a small shop and longer for larger ones, driven mostly by data cleanup and training rather than software installation. Shops that clean part numbers, routings and rates before go-live finish sooner and trust their numbers sooner than those who load everything as-is.
Can I add AI to my existing job shop ERP instead of replacing it?
Often yes. AI can read the ERP database or API and answer questions or draft quotes without replacing the system. The quality of results depends on the quality of your job history, so check data accuracy first. Replacement is justified when the ERP cannot support your compliance or scale needs, not just to get AI.
