Baan Private AI Layer Blueprint Generator
This generator turns a few facts about your Baan system into a written architecture plan for a private AI assistant that runs on your own infrastructure. It is meant for the first conversation between IT, the ERP owner and security.

Baan Private AI Layer Blueprint Generator
Context
Company: Acme Precision Ltd Baan version: Baan IV Database: Oracle Hosting: On-prem server Named users: 120 across 2 site(s) GPU: None yet Target go-live: 2027-03-31
Purpose: add a private AI assistant to the existing Baan system without moving data outside the site.
Use cases
Ask about item, order and BOM history; find old drawings and routings; explain legacy customisations; prepare migration validation reports.
Data that must stay on site
Customer pricing, legacy contracts, employee data.
These classes are excluded from any external service. The model, retrieval index and logs run on On-prem server infrastructure only.
Components
| Component | Design for Baan |
|---|---|
| Data access path | Scheduled read-only extract of selected Baan tables and domains into a reporting database |
| Retrieval index | Local embeddings over reports, drawings and documents from file shares |
| Model serving | Open-weight model on vLLM or Ollama on local GPUs |
| Tool server | MCP or tool server with a short list of named read actions over the reporting copy |
| Identity and permissions | Role-to-company-and-data map maintained in the tool server |
| Audit | Append-only log of prompt, tool call, query and answer |
Security controls mapped to your inputs
| Control | How it applies |
|---|---|
| Network | Hosting is On-prem server; the model server has no outbound internet route; only the tool server reaches Baan (Oracle) |
| Data classes | Excluded or masked before indexing: Customer pricing, legacy contracts, employee data. |
| Access | Read-only copy only, extract off-peak, role map, no free SQL, no direct writes to Baan |
| Scale | 120 named users across 2 site(s); capacity checked against the GPU position: None yet |
| Write-back | Disabled in phase 1; later only through supported Baan interfaces with named-user approval |
Rollout
| Phase | Scope | Exit criterion |
|---|---|---|
| 1. Read-only questions | Named read actions and document search for the use cases above | Answers match Baan screens on a test set, no cross-permission leaks |
| 2. Drafts | Assistant drafts emails, notes and change proposals for a user to review | Users accept most drafts with light edits; audit log reviewed |
| 3. Approved actions | Selected writes through supported interfaces after explicit approval | Zero unapproved writes; rollback tested; target go-live 2027-03-31 |
Open questions for IT
1. Which Baan version, OS and database are in use, and is the extract path supported? 2. How often must the reporting copy refresh? 3. Who maintains the role map once Baan roles are not exposed? 4. Who owns the audit log and how long is it retained? 5. Which identity provider issues the user identity the tool server will use?
Approvals
This is a starting plan, not a design guarantee. Object names, endpoints and versions vary by installation; confirm them with your Baan administrator before building. Sizing figures come from the companion calculator.

Optional: an engineer reviews your generated plan and flags gaps in permissions, sizing and rollout.
Optional. The tool and every export work without this. No spam.
How to use the generator
Fill in the company, Baan version, database, hosting model, user and site counts, use cases, data that must stay on site, GPU position and target date. The document updates as you type and exports to PDF or Word for circulation.
- Be specific about use cases: lookups, document search and drafts are cheap, actions are not.
- List data classes, not systems, under what must stay on site.
- Choose air-gapped only if no component may reach the internet at runtime.
- Treat the open questions as the agenda for the first IT meeting.
What the plan contains
The plan lists six components for Baan: data access path, retrieval index, model serving, tool server, identity and permissions, and audit. It maps security controls to your inputs and sets out a three-phase rollout from read-only questions to approved actions.
- Read-only first, writes later through supported interfaces only.
- One tool per approved read action, never free SQL from the model.
- Permissions mirrored from Baan so the assistant cannot show more than the user could see.
How to read the result
Check that each component has an owner and that the rollout exit criteria are testable. If the GPU position is none, run the sizing calculator before ordering hardware. If your hosting is private cloud rather than on-prem, confirm contractually that the GPU nodes are single-tenant or logically isolated.
Common mistakes
Teams often start with write actions, skip the audit log, or give the assistant a service account that sees every site. Another frequent issue is forgetting documents: much of the value is in drawings, certs and procedures, not tables. This plan puts documents and permissions in the first phase on purpose.
Frequently Asked Questions
Does this plan require a cloud service?
No. All components can run on your own servers, including air-gapped, with open-weight models served locally. A private cloud option is available if you prefer to host there.
Is the plan specific to Baan?
The components table and controls name Baan access mechanisms and permission models. Version-specific object names must still be confirmed on your system.
Can I edit the document after export?
Yes. The Word export is editable, and you can change fields and re-export at any time. Nothing is sent anywhere; the tool runs in your browser.
How do I size the GPUs?
Use the companion sizing and value calculator, which estimates concurrent requests, tokens per day and GPU count from your user numbers and an assumed tokens-per-second figure.
If you would like a second pair of eyes on the plan for your Baan environment, Netray builds private and air-gapped AI on top of ERP systems and can review it with you.
