Chemical Batch Record Template

A batch record is the proof of what went into a batch, how it was made and what came out. This template gives chemical and process plants a clean, printable format to fill in, with space for charges, in-process checks, yield and sign-offs.

A starting-point format, not a validated record for regulated products. Adapt to your master batch record, quality system and any GMP or customer requirements, and keep controlled copies under document control.

Generate batch records from ERP production orders

Optional: a short review of producing and reconciling batch records from your ERP.

Optional. The tool and every export work without this. No spam.

How to use the template

Complete the header fields with product, batch number, formula revision and vessel, then export to PDF or Word. The pre-start table confirms line clearance, calibration and material verification before charging begins. The charge log captures each material, its lot number, target and actual quantity, and two initials. In-process checks record temperature, mix time and tests such as pH, viscosity or solids, and the yield table reconciles output against theoretical. Finish with signatures from operations and quality.

  • Record actuals at the time of the step, not afterwards.
  • Cross out errors with a single line, initial and date.
  • Reference the formula revision on every page.

What a good batch record proves

A useful record lets someone who was not there reconstruct the batch: which lots went in, in what order, under which conditions, what tests passed and what was lost. That traceability supports complaint investigation, recall scope, and audits under systems such as ISO 9001, Responsible Care and customer quality agreements. Where product falls under GMP, for example certain pharmaceutical or food-contact materials, your master batch record must also meet those regulations.

Common mistakes

Frequent gaps include missing lot numbers, quantities recorded as targets rather than actuals, back-filled times, unsigned deviations, and records that do not state which formula revision was used. Yield outside limits with no explanation is another audit finding. Reconcile the paper record with ERP production order quantities and inventory transactions so book and physical stock agree.

  • Link batch number to the production order.
  • Investigate yield outside limits before release.
  • File the record with the retained sample log.

Frequently Asked Questions

What is in a batch manufacturing record?

Typically product and batch identification, formula revision, equipment, raw material lots and quantities, process steps with parameters, in-process test results, yield reconciliation, deviations and sign-offs from production and quality. The exact content depends on your quality system and regulatory scope.

Is this template GMP compliant?

It is a general starting format. GMP records need validated master batch records, controlled issuance, and specific data integrity controls. Use this as a base and align it to your regulatory requirements before using it for regulated products.

How is yield percent calculated?

Divide the actual packed quantity (plus any qualified samples and rework, per your procedure) by the theoretical quantity from the formula, and multiply by 100. Set acceptance limits per product and investigate anything outside them.

Can I edit the table rows?

The exported document keeps the structure. After export to Word you can add or remove rows to fit the number of charge steps and checks in your own formula.

If you want these records created and reconciled from your ERP production orders instead of retyped, Netray can help design that flow with approval on any write-back.
