Chemical Batch Manufacturing Record Template

A batch manufacturing record is the controlled document that proves a batch was made the way the master recipe says. This template gives a chemical plant a clean structure for charges, process steps, tests and sign-offs that you can adapt to your own products.

Review and Approval

Production operator / Date
Production supervisor / Date
Quality reviewer / Date
Batch disposition (release / hold / reject) / Date

This is a generic starting point. Align fields with your approved master batch record, your quality system and any applicable GMP or customer requirements before using it for released product.

Batch record review from ERP data

Optional: we can look at how your production orders and batch records could be linked and searched.

Optional. The tool and every export work without this. No spam.

How to use the template

Fill in the header fields once, export to PDF or Word, then print one record per batch. The tables are intentionally blank where operators record actual values by hand, so the printed record works at the vessel. Replace the example charge lines and process steps with the approved steps from your master record, keeping the sequence and the limits exactly as released. If you run on screens instead of paper, use the same sections as the layout for your electronic batch record or ERP production order notes.

What belongs in a good batch record

A useful record lets a reviewer reconstruct the batch without asking anyone. That means traceable lot numbers for every ingredient, actual weights next to targets, who weighed and who verified, times for each critical step, in-process results with pass or fail, and a reconciliation of yield and waste.

  • Unique batch number linked to the master record revision
  • Equipment IDs and calibration status before starting
  • Two-person verification on critical charges
  • Times and temperatures for controlled steps
  • Deviations referenced, never hidden in margins
  • Disposition decision signed by quality

Reading yield and reconciliation

Yield is actual output divided by theoretical output, expressed as a percentage. For a blend with no reaction, theoretical equals the sum of charged materials less intended losses. Large gaps usually mean weighing errors, tank heels, line losses or unrecorded samples. Record the gap and its explanation here so it can feed trend analysis rather than being rediscovered at the next audit.

Common mistakes

The most common faults are pre-filled actuals, unlabelled corrections, missing lot numbers on minor ingredients, and records completed from memory after the shift. Correct entries with a single line through, initials and date, never overwrite. Keep the master record under document control so operators never work from an old photocopy.

Frequently Asked Questions

Is this template GMP compliant?

It follows the structure expected of batch records, but compliance depends on your approved master record, training and document control. Treat it as a starting layout and have your quality unit review it before use on regulated product.

Can I use it for non-reactive blending?

Yes. For simple blends the process steps are mixing and addition order, and theoretical yield is the total charge. Remove any reaction-specific rows you do not need and keep the verification and test sections.

How is it different from an ERP production order?

An ERP order tracks quantities and costs. A batch record also captures process observations, tests and signatures. Many plants keep both, with the batch number linking them.

How long should batch records be retained?

Retention depends on product, customer and regulator. Many plants keep records for the shelf life plus a margin, often several years. Confirm the period in your quality system or contracts.

If batch records still live in paper and spreadsheets, Netray can help connect production order data from your ERP to a reviewed, searchable record.
