China ERP Implementation Cost Estimate Worksheet (CNY)
ERP budgets in China are easy to under-estimate because the tax interface, data migration and local hosting sit outside the licence quote. This worksheet lets you list every cost line, total it and add a contingency before the business case goes to the board.
| Cost item | Category | Quantity | Unit cost | Extended cost | Owner | |
|---|---|---|---|---|---|---|
CNY 216,000 | ||||||
CNY 528,000 | ||||||
CNY 90,000 | ||||||

Example figures only. Replace with quotes from your vendor and partner. Add internal staff time, travel and any one-off legal or tax advice for your entity.

Optional: send your vendor quote and we will check it against the cost categories projects usually miss.
Optional. The tool and every export work without this. No spam.
How to use the worksheet
Overwrite the example rows with your own items. Choose a category for each so you can sort and subtotal later in Excel. The extended cost column multiplies quantity by unit cost, and the summary adds a contingency percentage on top of the subtotal. Export to Excel to keep working on versions, or to PDF to attach to an approval request.
The categories that get missed
Quotes from vendors cover licences and the core implementation days. Items that regularly show up late are the fapiao interface to the tax platform, local hosting or hosting-region uplift, data cleansing of customer and item master data, integration with MES, WMS or banks, and parallel running of old and new systems. Add them as explicit rows even if the quantity is a placeholder.
- Tax platform interface and testing
- Customer and item master data cleansing
- Bank and payment platform connectivity
- Parallel run and hypercare
- Internal staff backfill
Reading the total
Compare the total to your annual revenue and to the cost of the pain you are fixing. Look at the split between recurring and one-off cost, because subscriptions repeat every year while services do not. The contingency line is a planning reserve, not a promise. Projects with many entities, heavy customisation or poor master data tend to need more.
Common mistakes
Do not budget only for the go-live date. Support, enhancement requests and regulatory changes such as fapiao platform updates continue afterwards. Also avoid counting vendor days as equal to delivered days: add time for the business to review, test and sign off, which often takes longer than the consultants expect.
Frequently Asked Questions
How much does an ERP implementation cost in China?
It depends heavily on scale, number of entities, modules and customisation. Cost typically combines licences or subscription, services days, interfaces and migration. Use vendor and partner quotes, and this worksheet to avoid leaving lines out.
What contingency percentage should I use?
Ten to twenty percent is a common planning range. Raise it for multi-entity rollouts, weak master data or heavy customisation. It is a reserve to be controlled by the steering group, not a spending allowance.
Should I include internal staff time?
Yes, at least as a visible line. Key users spend significant time in design, testing and cutover. Leaving it out hides the real cost and the backfill need.
Can I change the currency?
The worksheet shows CNY. You can enter amounts converted from another currency, but note the exchange rate and date in the notes of your exported file.
