Customer Order Status Inquiry Log Worksheet

Most customer service teams cannot say how many order status calls they take, or why. A simple log fixes that. Record each inquiry for a few weeks and the patterns appear: which customers chase, which topics repeat, and how slow your first reply really is.

How to use the worksheet

Add one row per inquiry. Pick the channel and topic from the lists, enter handle time in minutes and hours to first reply. Set resolved to 1 if the first contact solved it, otherwise 0. The summary shows total inquiries, first contact resolution and total workload hours. Export to Excel for pivots by customer, topic or agent.

Reading the results

Where is my order is a symptom, not a task. If ship date inquiries dominate, customers do not trust your promise dates or cannot see status themselves. A low first contact resolution rate usually means agents lack access to production or shipping information. A long first reply time on email suggests queue ownership is unclear.

  • High repeat inquiries per order: improve proactive notices
  • Many tracking questions: send ship confirmations with links
  • Low resolution rate: widen ERP visibility for agents
  • Long reply times: define who owns each shared inbox

From log to improvement

Sort by customer to find accounts generating the most contact, then ask what information they are missing. Often a weekly open order report sent by email removes a large share of calls. Use the workload hours total with the staffing calculator to size the desk against real demand, not assumption.

Common mistakes

Logging only the hard cases, leaving topic as Other, and measuring handle time inconsistently between agents. Agree definitions first: start the clock when the contact begins and stop when the record is complete.

Frequently Asked Questions

How long should I keep the log?

Two to four weeks gives a usable picture of topics and channels. Seasonal businesses may need a full month that includes quarter end. Keep a rolling log if the data drives staffing or portal decisions.

What is a good first contact resolution rate?

It varies by business. For order status work, many teams aim for a majority resolved on first contact. Track your own baseline and improve against it rather than copying a generic benchmark.

Should I log emails that are automated?

Log those that need a human reply. Automated shipment notices and acknowledgments are not inquiries, though a spike in replies to them tells you the notice is unclear.

Can this replace a ticketing system?

For a small desk it can serve as a lightweight record. If volume is high or several people share cases, a helpdesk or CRM gives assignment, history and reporting that a spreadsheet cannot.

Netray can add an assistant over your ERP so agents get order, production and shipment status in one question, which is what raises first contact resolution.
